The College of Fine and Applied Arts at the University of Illinois at Urbana-Champaign seeks a Human Resources Coordinator to deliver human resources services to the School of Art + Design and the Krannert Art Museum.

Major Duties and Responsibilities:

Employment and Appointment Processing

  • Coordinate the hiring activity for all employee groups, including but not limited to position development and approval, search documentation and approval, recruitment advertising, interview participation and coordination, background checks, and onboarding.
  • Work closely with the College Human Resources and the Office of Access and Equity with respect to search and hiring practices, affirmative action goals, and equal employment opportunity practices.
  • Provide timely, effficient appointment processing, including insight and recommendations on various appointment requests, working closely with the College HR office and campus HR and in accordance with University policy and procedures.
  • Responsible for the administration and overight of bi-weekly payroll approval, ensuring timeliness, accuracy, and completion.
  • Facilitate and monitor compliance to comply with campus policies and best practices with respect to annual performance reviews, accurate job descriptions, appropriate employee classification decisions, and timely and accurate leave reporting.
  • Coordinate robust, employee-focused onboarding and exit procedures.
  • Oversee the development and continual improvement of practices, procedures, and documentation, to drive efficient operations and improve customer service.
  • Identify and lead special projects, such as job audits and needs assessments, as needed.

Labor and Employee Relations

  • Work independently to conduct research, interpret findings, and provide guidance and recommendations to management and staff on various HR-related issues, consulting with the College and campus Human Resources as applicable.
  • Establish and develop strong working relationships with the unit executive officers, administrators, faculty, and staff to successfully meet their HR needs.
  • Work effectively with hiring officials, supervisors, search chairs, staff, and committee members to consult and advise on policies, procedures, best practices, workflows, and documentation.
  • Provide guidance to employees and supervisors on applicable collective bargaining agreement language, policies and rules.
  • Consult with the College HR office and Illinois Human Resources in regard to personnel issues, utilizing available campus resources such as the Faculty and Staff Assistance Program (FSAP), as needed.
  • Work closely with a variety of stakeholders and peers including the College of Fine and Applied Arts HR staff, and HR colleagues in other departments/schools in FAA.

Policy and Interpretation

  • Interpret and apply policies and procedures related to visa and green card processing; working closely with the International Student and Scholar Services (ISSS) office, guiding sponsored foreign national faculty and staff through the various processes; convey foreign national and visa processing polices and procedures to faculty and staff.
  • Interpret and advise on state and federal labor laws; keeping up-to-date with changes and new regulations related to campus implementations of employment and hiring practices such as the Americans with Disabilities Act (ADA), the Fair Labor Standards Act (FLSA), the Family and Medical Leave Act (FMLA), the Occupational Safety and Health Act (OSHA), and others.
  • Advise on policies related to ethics, Title IX, ANCRA, and Statement of Economic Interest; ensure compliance with annual training and reporting requirements.
  • Interpret, implement and advise employees on policies and procedures relating to employee leaves such as the campus Shared Benefits Program, Disability Leave, Family and Medical Leave, and educational and personal leaves.

Minimum Qualifications:

  • Bachelor's degree in Human Resource Administration, Management, Organizational Administration, Public Administration, Labor Relations, Business Administration, or a field closely related to the position.
  • Three years of progressive work experience providing professional-level human resources support and coordination.

  • Proven track record of customer service to diverse clients.
  • Results-oriented with strong organizational and time-management skills.
  • Demonstrated ability to work autonomously and possess well-developed interpersonal skills.
  • Strong oral and written communication skills.
  • Ability to interact with a broad array of internal and external constituents.
  • Ability to develop proficiency in processing a high volume of transactions accurately and efficiently, in multiple university-wide applications, with high level of attention to detail.
  • Ability to concurrently manage multiple complex tasks and priorities.

Salary: Salary is commensurate with qualifications and experience.

Appointment Status: This is a full-time (100%) benefits-eligible civil service position in the Human Resource Associate classification; appointed on a 12-month basis; reporting to the Assistant Director, Business Services, School of Art + Design.
