OPE Staff Specialist, Level 9

Occupational Summary:

Responsible for administrative support of the Vice Chair of Education and Education Administrator in the Office of Pediatric Education. Responsible for the coordination of special projects within the Office of Pediatric Education, requiring critical, innovative thinking and an independent approach.

Work Performed:

Assist with CME/GME Activities

  • Assist with special medical education project coordination
  • Videotape Fellows Core Curriculum & send to upload to intranet
  • Create itineraries for guest speakers
  • Arrange travel, hotel, transportation for guest speakers
  • Process honorarium checks for guest speakers
  • Assist in the design, implementation and reporting of education surveys
  • Assist in the planning, coordination and implementation of Pediatric Education Day
  • Assist in the planning, coordination and implementation of Fellows Core Curriculum (FCC)
  • Assist in the planning, coordination and implementation of Fellowship Stewardship Committee
  • Manage most elements of CME coordination for Grand Rounds and other Departmental
  • GME and CME activities (including Chair's Clinical Case Conf., Fellow's Research Conference & Grand Rounds)

  • Track attendance for CME events # i.e. Grand Rounds, speaking events, meetings, etc.
  • Create face sheets for Fellows
  • Education Leadership Meetings: assist with agenda items, minutes, scholarly activities
  • Maintain Faculty and Fellow development listing
  • Update alumni database with graduating fellow and resident information
  • Coordinate and organize information for new fellow departmental orientation
  • Assist with Financial Information
  • Clear all expenses in [email protected] for Office of Pediatric Education
  • Facilitate Annual APPD dues renewals for residencies and fellowships in the department
  • Make Travel arrangements and conference arrangements as needed for Vice Chair of Education Support the Office of Pediatric Education
  • Greet and welcome visitors to the office
  • Manage daily calendar for Vice Chair & the calendars of nearby conference rooms for reservations
  • Coordinate special education events (including Education Day, Sidbury Lectureship, Buckley Lectureship, Alumni Grand Rounds, Page Anderson Lectureship, Lenox Baker speaker, etc.)
  • Plan, book and facilitate programmatic social events (Durham Bulls Game, Post-Interview Reception, Physical Exam Night, etc.)
  • Coordinate the scheduling of meetings and committees for Vice Chair with multiple groups (Grand Rounds, Semi-Annual Fellows Program Director and Coordinator meeting, Education Leadership Meeting, etc.)
  • Create surveys in Qualtrics for CME and other functions and analyze data
  • Develop and distribute weekly conference and monthly Grand Rounds schedules and flyers
  • Distribute paperwork and respond to requests for observerships in Pediatrics
  • Facilitate interview schedule for Vice Chair (with students, residents, fellows, and faculty)
  • Facilitate updating office of Pediatric Education intranet website information
  • Manage day-to-day operations of the office, including reception, mail, faxes, phone calls, etc.
  • Post CME Questions of the Week and tally responses
  • Run reports and compile attendance data for the Departmental compensation and supplemental salary incentive and tracking purposes
  • Schedule rooms # using 25 Live.
  • Transcribe meeting minutes (Grand Rounds Planning Committee, Education Leadership Meeting, Semi-Annual Fellowship Director/Coordinator meetings)
  • Perform clerical responsibilities and other related duties within the Office (copying, faxing, scanning, filing, etc.).

    Minimum Qualifications

    Work requires a broad knowledge of clerical and accounting principles and practices normally acquired through two years of post-secondary education in secretarial science or a related business field.

    Work generally requires three years of related secretarial/clerical experience to acquire skills necessary to administer complex office functions related to office management, communications, and budgetary/accounting activities. OR and equivalent combination of education and relevant experience.
