Under general supervision, this position performs administrative and clerical functions of moderate difficulty in Library’s Administrative Services section, including maintaining filing system; assists with purchasing and tracking office materials, supplies and equipment; sorting and distributing electronic and physical correspondence in a timely manner; and performs routine administrative tasks assigned by the Administrative Services Manager.Typical Duties/Job Duties:
1.Develop and maintain both electronic and physical filing system.
2.Orders and maintains requested office supplies, tracks and prepares annual maintenance agreements for various equipment throughout the Library.
3.Checks campus mail daily and sorts and distributes accordingly.
4.Routes electronic mail and refers and responds to inquiries.
5.Assists in compiling and entering data for charts, graphs, databases, summaries and reports.
6.Assist with annual inventory.
7.Participates with supervisor’s acknowledgment in appropriate professional development opportunities.
8.Perform other duties as assigned.
•Knowledge of library procedures and practices; knowledge of the desktop computing environment and basic mathematical knowledge.
•Skilled in the use of various software applications; skilled in oral communications and interpersonal relations. Skilled in time management and organization.
•Ability to perform records management functions; ability to interpret policies and procedures; ability to perform work requiring accuracy and attention to detail; ability to operate a variety of office equipment; ability to type 35-40 WPM; ability to be enthusiastic about learning new processes and technologies.
• Graduation from accredited high school or equivalent.
• Office experience and ability to handle routine correspondence and reports using various word processors and/or spreadsheets.
• Some college-level work.Physical Requirements:
Position requires visual acuity; prolonged periods of sitting and standing; periodic walking, bending, pushing/pulling, kneeling, and reaching; medium level of manual dexterity required; occasional lifting up to 30 lbs.
Works in a pleasant, adequately-lighted, temperature-controlled environment.
