Responsibilities

The essential functions of the position include, but are not limited to, the following:

    Assists in the planning and execution of meetings, conferences and various special events associated with the Alumni Association Coordinates all event logistics such as menu selection, audio visual needs, on-site event support, production elements, event rentals, event data entry, recruiting and confirming volunteers as well as other event needs as appropriate Establishes and maintains relationships with event vendors and venues. Determines appropriate vendor for event needs (catering, performers, photographers, etc.) and chooses the best combination of quality and costTracks and monitors event expenses and revenues Manages attendee lists and seating assignments within Blackbaud CRM and/or Eventbrite (event platforms) Assists with the gathering of collateral for distribution of pre-event briefingsAssists with the planning, promotion and coordination of Alumni Network and Student Alumni events Provides reports, documentation, and/or materials for post event analysis Involved in the development of new alumni programs and value added to existing programs such as career networking, young alumni activities, student receptions, and other special events hosted by the Alumni Association

Qualifications

Bachelor’s degree and two years of experience or a high school diploma or equivalent and six years of experience. (Note: or a combination of post high school education and experience equal to six years)

  • Experience with project planning and management and the ability to balance competing priorities, complex situations and tight deadlines

  • Demonstrated organizational skills Careful attention to detail Superior written and verbal communication Proven knowledge of applicable computer applications, intermediate computer functions and electronic messaging a must Track record of creative thinking Ability to work with a diverse population of team members and constituents Ability to identify, assemble and guide volunteers Willingness to work collaboratively as a member of the Association and participate enthusiastically in the life of the University Service oriented approach A valid Florida or Georgia driver's license or the ability to obtain one.
Preferred

Experience or internship in conference planning, event management, membership relations.

Schedule

If not otherwise specified, schedule is M-F, 8-5. Some nights and weekends are required.
