Department Summary:

UNT’s College of Engineering offers Bachelors, Masters and Doctoral degrees in various engineering disciplines. Position Overview:

To reconcile College of Engineering (CENG) research project expenditures on monthly bases to make sure costs are allowable, allocable, and reasonable to the project. Communicate with Assistant Director (AD), College Grant Support, Principal Investigator (PI), and other UNT offices if unallowable costs/expenditures are identified and move them off of the project. Reconcile p-card expenditures processed by Admin Coordinators on monthly bases. Work closely with the AD to provide project balances to PIs once a month.

Minimum Qualifications:

Bachelor’s Degree in business administration, accounting, finance, auditing, public administration, or related field and five years of relevant administrative work or any equivalent combination of education, training, and experience.

Knowledge, Skills and Abilities:

• Work independently on assigned proposals and awards, but work as part of a team of central and distributed research administrators to support common goals.
• Excellent written communication and interpersonal skills.
• Strong time management and problem solving skills.
• Prior knowledge of pre- or post-award administration regulations and procedures.
• General administrative experience with budgets, purchasing, payroll, travel with specific skill in budget planning, analysis, and reconciliation.
• Maintain confidentiality of sensitive information.

Preferred Qualifications:

Experience in higher education research administration;

o:

Set-up monthly reconciliation report for new awards and folders for award files

o:

Download COGNOS reports and reconile project expenditures on monthly bases and provide accurate project balances to faculty

o:

Review expense code entered on p-card purchases and requisitions during reconciliation and bring it to CRO’s attention for further training of staff

o:

Identify and investigate any unusual costs that are not approved by PI and CRO on the project and determine why it was charged to the project

o:

Contact the Purchasing Departments for any questionable requisitions and p-card charges.

o:

Contact the Payroll office for any questionable payroll payments or encumbrances.

o:

Process cost-transfer forms for costs to move unallowable costs off the project.

o:

Maintain up to date project balances by inputting approved and final transaction costs to reconciliation spreadsheet to have the most current project balance in real time – this will take coordinaition with Admin. Coordinators

o:

Reconcile p-card expenditures done by Admin Coordinators on monthly bases and review the allowability of the costs with the correct expense codes.

o:

Stay up to date of UNT, Sponsor, and federal guidelines in regards to project expenditures and processing; Attend UNT CRO meetings or necessary UNT trainings.

o:

Review payroll informaiton for Faculty before effort reporting is certified.

o:

Prepare budget revisions working closely with the PI and seek OGCA’s and Sponsor’s approval.
