Position Summary

The College of Arts & Letters is looking for dynamic individuals who enjoy working in a collaborative team environment to fill two positions to join its newly formed Office Operations Team. This is position two of two. We encourage interested candidates to apply to both position postings (#711347 & #711434). Duties include but are not limited to: provides reception and secretarial support to assigned chairs and/or directors of departments, centers, or programs in the College while demonstrating sound judgment; responds to department/unit stakeholders during business hours; answers questions and inquiries; communicates directly with the other functional teams on behalf of the unit; copying, scanning, faxing, shipping, filing, typing, mail distributions, mailbox assignments, updates directories and rosters, maintains unit electronic files; provides search support; composes and disseminates unit communication related to events, activities, announcements; renews mailings and subscriptions, and monitors inventory and orders general office supplies; assists with unit events, guest travel and lodging arrangements, gathers honorarium payment information, orders food, schedules venue; submits IPF service request for building repairs; maintains records of keys, acts as a resource for MSU travel system used by faculty and staff; arranges and assists with standardized office procedures as required; manages listservs; maintains calendar; schedules meetings, and tracks important events; composes, drafts, and edits documents and correspondence using word processing, spreadsheet, and presentation software; maintains and reconciles financial records associated with assisting with event planning and guest travel; updates website; provides secretarial support to unit-level committees and projects; supervises and directs work of student employees; interacts with administrators, students, faculty, staff, and other constituents in order to represent the departments, centers, and programs in a professional and confidential manner; participates in building relationships with students, alumni, and friends to deepen and/or grow the connection with the College and MSU; attends meetings in order to acquire and disseminate information; acts proactively, handling diverse and multiple tasks and effectively prioritizing work during frequent interruptions.

Unit Specific Education/Experience/Skills

Knowledge normally acquired through a high school education; three to five years of related and progressively more responsible or expansive work experience in maintaining accounting ledgers and/or experience in word processing, spreadsheet, database, and desktop publishing software; or an equivalent combination of education and experience.

Desired Qualifications

Experience and familiarity with MSU processes and procedures; experience or proficiency with the Microsoft 365 Suite; experience supporting administrators, triaging questions, working in an academic environment; ability to multi-task; understanding of what it means to work in a digital environment with collaborative tools; a self-starter who demonstrates a work ethic that includes proactive problem solving, ability to establish priorities, and meet deadlines; ability to work under pressure and adaptability to change; able to take initiative and work as part of a team; possess confidential, organizational, and communication tools; work orientation that includes problem-solving, teamwork and adaptability to change, focus on service and continuous learning for self-improvement.
