Preferred Qualifications:

Bachelor’s degree preferred. Business to Business Sales experience (preference given to those with hotel or conference center sales experience).

Position Summary:

This position engages in day-to-day sales and event management functions to ensure seamless execution of events at the Georgia Center for Continuing Education & Hotel. The individual has primary responsibility for account management, sales prospecting and qualifying thereby generating new revenue opportunities while. while consistently striving to maximize opportunities and promote positive relationships with guests and colleagues. The individual in this position will demonstrate mastery in the sale and execution of events. They will oversee the collective coordination lifecycle of events from prospecting to implementation, to delivering outstanding guest service while maintaining financial profitability.

Knowledge, Skills, Abilities and/or Competencies:

1.Bachelor’s degree strong preferred; will consider Associate degree with significant and relevant experience.
2.Sales experience (preference given to those with hotel or conference center sales and/or meeting planning experience).
3.Preference given to candidates with experience in negotiation and sales.
4.Strong communication skills including both oral (in person and phone) and written, and public presentations.
5.Possess organizational and time management skills including the ability to handle multiple projects simultaneously while documenting client communication.
6.Ability to successfully meet the public and create a favorable impression of the Georgia Center; excellent customer service skills.
7.Ability to work independently, with initiative, within departmental guidelines.
8.Ability to demonstrate a strong work ethic and support a positive work environment.
9.Proficient in use of Windows Office Suite; internet research skills needed.
10.Ability to review basic financial reports, invoices, bills and statements to help determine appropriate space holds and deposit requirements.
11.Data management experience strongly preferred.
12.Ability to work occasional nights and weekends (thus beyond the norm of Mon-Friday 8-5) to support organizational activities.

Physical Demands:

Lift items up to 40 pounds (i.e. exhibit displays/boxes, etc.).
Make occasional day (could include one day a week travel beyond Athens) or overnight trips, rarely but may involve air travel.

Duties/Responsibilities:

Sales and Event Coordination:
•Actively develop and maintain relationships with individuals in assigned markets, through identification, prospecting, phone calls, visits and other types of contacts, thereby identifying new business opportunities for the Georgia Center to meet organizational sales goals.
•Research facility availability, including analysis of profitability on business opportunities, prepare proposals, and negotiate the terms of Agreements between customers and the Georgia Center. Written documents, including proposals, on-line responses, and Agreements, shall be in compliance with University and departmental guidelines.
•Provide on-site and virtual event support for assigned events. This includes meeting with the client, facilitating virtual conference sessions, checking room sets, A/V, and banquet orders, ensuring the client is aware of locations of different activities and providing the onsite contact information for additional support needed during their event.
•Travel, including day trips including outside of the Athens area, to make sales calls.

•Prepare proposals and agreements accurately, and in compliance with University and departmental guidelines.
•Reserve space for events in the Facilities Management System and submit accurate and updated event requests.
•Review, ensure accuracy, and approve for processing by business services all financial charges and documents related to the event’s billing including but not limited to BEOs, invoices and honoraria.
•Create and maintain accurate client records, utilizing a CRM, Hotel management system, and a Facilities Management System.
