Primary Purpose of Department:

The Office of OneIT provides highly reliable information technology infrastructure, tools and services to empower the University to achieve its academic, research, administrative and service goals.

The Office of Academic Affairs Budget and Personnel (AABP) operates within the Office of Academic Affairs and supports the Provost. AABP develops a comprehensive budget and personnel model to help align resources with strategic objectives of the division and University. The office works in close coordination with campus partners to guide, refine, and interpret major policies and process areas that have significant impact on the division to promote student success, efficiency, accountability, and appropriate cost and procedural controls. AABP is also responsible for developing the divisional budget and related annual budget call process, providing integrated resource
planning and analysis, and ensuring data capabilities that supports leadership decision-making and reporting requirements.

AABP manages the personnel processes for faculty including recruitment, hiring and retention; leave and re-assignment of
duties requests; salary administration and special pays, and the faculty re-appointment, promotion, and tenure process. The office ensures that faculty personnel files are maintained to the compliance standards set forth by the Southern Association of Colleges and Schools (SACS), our institution’s accreditation body.

AABP trains and develops divisional leaders, business officers, and their teams regarding resource management that supports institutional imperatives, budget and personnel best practices, and related business administration timelines, workflow, and approval steps.

Primary Purpose of Position:

Uses a combination of skills and experience in the areas of technical knowledge, technical solutions development, project management, consultancy, planning and organization, and systems technical support or administration to support critical academic budgeting and personnel functionality.

Facilitates visualization for decision support and workflow associated with academic budget and personnel core processes through a system of computer software applications, programs, databases, partnerships, and procedures to improve reporting, data analysis.

Ensures data and systems security, integrity and compliance.

Summary of Position Responsibilities:

Responsible for the full value chain of management reporting and data activation (data collection or extraction, aggregation, data validation, configuring and reporting, analysis, enhancements and visualizations, presentations, and recommendations for decision-makers) related to academic budget and personnel tracking and forecasting.

Demonstrates responsible data management for systems supporting the AABP unit’s scope. Serves as the systems liaison to other OneIT units as well as Business Officer and professional staff across Academic Affairs regarding best practices for onboarding, usage of, and reporting from key systems and software. Identifies opportunities for increased automation of manual processes through use of target tools and processes. Works collaboratively with teams in all Divisions to identify best practices for data management that will improve reporting, particularly in regards to financial and personnel data.
Creates and curates a standardized and ad hoc range of discrete and integrated reports involving budget and personnel data. Provides comprehensive, consolidated views allowing trained role-based users to drill down for details.

Responsible for the creation or revision of process and workflow documentation in an on-going manner.

Duties support the AABP service goals of: 1) Data Stewardship & Decision Support; 2) Organizational Design & Development; and,
3) Business Process Enhancements. Outcomes will ultimately support Student Success and empower and engage divisional and campus-wide stakeholders (students, faculty, and staff).

Applies project management and consultancy best practices. Uses a combined set of technical knowledge, business-thinking, communication, and behavioral skills to: 1) organize and partner
with diverse teams (horizontal and vertical roles organization-wide); 2) define needs aimed to resolve moderate-to-complex
issues; 3) prioritize and plan projects to improve data activation, process workflows, or systems adoption/use; and, 4) support and promote systems and tools that enhance efficiency of budget and personnel user experience.

Models best practices in all aspects of the role including data protection, efficiencies in design and reporting, project management, and management of sensitive information.
Develops and shares: 1) project goals, benefits, timelines and milestones, and status updates; 2) user guides and learning
tools; and, 3) the results of reporting/data activation and various process or systems improvements.

Trains divisional users regarding new procedures, systems, and tools using a variety of teaching and learning modalities. Plans for and facilitates the “Super Reporters” divisional cohort quarterly.

Minimum Education/Experience:

● Bachelor’s degree in relevant subject area.
● Intermediate Excel skills.
● 3-5 years experience working with budget and personnel.
● Demonstrated ability for data analysis and reporting.
● Strong communication skills, verbal, written, and presentations.
● Strong competency with standard Google and MS Office tools as well as custom developed solutions.
● Team-based, collaboratively-oriented, and supports diversity.
● Ability to adeptly plan, organize, and prioritize one’s own individual work, projects, and teams to meet deadlines.

Preferred Education, Knowledge, Skills and Experience:

● Experience in a University or Higher Education setting.
● 5-8 years experience working with budget and personnel.
● Advanced Excel Skills.
● Exposure to and/or knowledge of SQL, mySQL or other coding languages.
● Ability to create interactive data visualizations using Tableau as well as a solid understanding of the data structures
required.
● Exposure to application development, as this position will not code new applications, but serve as the primary liaison to OneIT app/dev teams. Ability to crosswalk between end-user terminology and technical requirements used by the development team.
● Training experience, particularly training design for multiple modalities.
