Departmental Overview

The Department of Mathematics is one of the largest teaching departments within the College of Letters and Science with annual enrollments of over 20,000 students including summer session. The department employs approximately 52 ladder-rank faculty, 30 emeriti faculty and 30 visiting teaching faculty and special research visitors, 15.5 career staff, 300 Graduate Student Instructors, 110 Readers, and 3 Work Study employees each year. The Department has approximately 200 graduate students and 1000 undergraduate majors.

The Director of Student Services has full functional responsibility for planning, directing, controlling, and evaluating all aspects of the student affairs programs in the Department of Mathematics. The position requires a thorough knowledge of UC, UC Berkeley, College, and Department educational processes and how they affect academic and student affairs. Using the highest degree of independent and original decision-making, analyzes Department, College, campus-wide, and system-wide educationrelated demands and requirements, evaluates, establishes, implements, and adjusts policies and procedural systems, and designs long-term planning and policy for the Department's educational goals. The position is responsible for the administrative needs of the unit and for the management of both the undergraduate and graduate degree programs, and the integration of these programs into the educational and scholarly activities and relationships of the Department. The position has full responsibility for the resolution of the many non-routine problems that arise. The position has independent responsibility for implementing changes to guidelines and procedures to optimize services and workflow. The position serves as the primary departmental resource in all student service-related matters, events, and communications. The Director of Student Services will also serve as an integral part of Department development and fundraising efforts. This position is a key member of the Department's management team and serves as backup to the Department Manager.

Responsibilities
  • Develops, interprets, and administers student academic programs for the Mathematics Department. Full functional responsibility and authority for planning, directing, and evaluating all aspects of the student services programs.
  • Oversight of curriculum planning, classroom scheduling, enrollment management (including Concurrent Enrollment) for a large academic department with over 20,000 annual enrollments, and GSI hiring. Works with the Curriculum Analyst/Planner to submit course modification proposals to the Committee on Courses at the Academic Senate, and ensure courses are staffed as needed with GSIs and Readers.
  • Works effectively with people from diverse cultures on such issues as performance management, organizational changes, work place climate, and other related issues.
  • Work with unit and faculty to coordinate with campus' Disabled Student Program, including test proctoring, student accommodations, instructor mentoring, and coordination with campus resources.
  • Evaluates the effectiveness of the student academic advising function, and makes changes to the program to provide better service to organizational management, faculty, and students. Leveraging current systems and utilizing new technology, works to streamline systems and business processes related to major applications, student records, and other student-related activities and services.
  • Oversees the planning, development, and administration of the TAS budget for the organization.
  • Decides which resources will be committed to goals and objectives and how they will be allocated.
  • Develop funding models for our student groups and advocate on their behalf.
  • Serves as a member of the following: Chair's Cabinet, Department Schedule Committee, Department Harassment/Complaint Task Force, and back-up Department Manager. Represents the student academic advising unit to the organization community and relevant external constituencies.
  • Works with L&S Development staff on Big Give annual donor event, plays a key role in alumni outreach communications, newsletters, and department fund raising campaigns.
  • Directs a team of professional student services staff (undergraduate and graduate advisors, as well as one program administrator and one curriculum planner) who are providing the full range of academic advising to department students and service to Department Chairs/Deans, Faculty and prospective students. Monitors and evaluates employee performance, salary actions, hiring decisions, and other human resources related issue of managed staff. Recommends employee selection and corrective action to Department Manager. Is responsible for ensuring appropriate and on-going training of student services staff, as needed.
  • Leads the student services staff in the planning and implementation of high-visibility events (e.g. Commencement, Cal Day, Golden Bear Orientation, Prospective Graduate Student Visit Day). Serves as Lead Commencement Coordinator.
  • Oversee staff administration of and responses to the department's piazza account and peer advising board, as well as other student/instruction/course related communication tools. Oversee staff administration of the textbook selection, distribution and ordering.
  • Coordinate and oversee updates to the Math Department web pages. Oversee the recruitment and assignment of Instructors and Graduate Student Instructors to summer courses. Participates in new faculty and summer instructor orientations.
  • Applying advanced academic advising concepts and experience, identifies and refers for resolution intricate student issues/grievances such as alleged discrimination, complex grade dispute issues, and students' personal crises. Is department agent in interventions for students emotionally or psychologically at risk. May personally provide academic advice to students on academic progression and requirements. Represents the student academic unit to the campus community and relevant external constituencies.
  • Resource for information and training of faculty and GSIs for university policies and procedures surrounding grades including grade changes, grade appeals, and the removal of Incompletes. Maintains and secures grade sheets and final course grade reports.
  • Recognizes issues that have campus impact or future implications and advises managed employees, faculty, Manager, Vice Chairs, and Chair accordingly.
  • Oversee the administration of the department's strategic undergraduate preparatory and support programs (i.e. PreCalc Assessment Program, UG Upper-Division Tutoring program, etc.). Proposes, develops, and oversees the administration of new student service oriented programs and initiatives for the department.
  • Updates department teaching manual. Coordinates with Chair's Office to ensure instructor vacancies are filled. Provides advice to instructors about issues concerning grades, DSP accommodations, suspected academic misconduct, and other procedural/policy matters. Supports and develops industry partners with which to connect graduate and undergraduate students.
  • Oversees the undergraduate student services advisors administration of the undergraduate honors program: ensuring that the full scope of advising services are available to the mathematics honors population; ensure that requirements are publicized, eligible candidates are identified, that honors criteria are applied correctly and consistently (i.e. transcripts, commencement program, etc.), and coordinate the selection process with the faculty prize committee to identify eligible students for commencement prizes, ensuring awards are prepared. Ensuring logistical support is available for Berkeley's participation in the prestigious annual Putnam Mathematical Competition.
  • Participates in ongoing professional development.

Preferred Qualifications
  • Knowledge of or can quickly learn common University-specific computer application programs.
  • Strong knowledge of or can quickly learn University and departmental principles and procedures involved in risk assessment and evaluating risks as to likelihood and consequences.
  • Experience with student services and advising at UC Berkeley and/or equivalent experience/training.

Salary & Benefits

This is an exempt, monthly paid position. Annual salary is commensurate with experience within the range of $95,000.00 - $110,000.00.
