The Administrative Specialist will support international students in navigating immigration processes and coming to the Unites States. The person issues immigration documentation to enable University of Tennessee students to acquire visas and enter the country in student status. This position will also provide support to the Director and other personnel by performing the coordination and administration of tasks for the unit. Duties will include:

  • Work with admission departments for Undergraduate, Graduate, Law School, and Veterinary Medicine to process immigration documents for incoming students.
  • Track, collect, record, process and review all documentation required to issue immigration documents including admission records, financial statements, past immigration history records, passports, and family records to ensure compliance with Federal Regulation.
  • Register as a Designated School Official for the Department of Homeland Security and as an Alternate Responsible Officer for the Department of State in order to sign immigration documents on behalf of the University and update student records in the Federal SEVIS database.
  • Coordinate SEVIS records updates and processes including transfer in, change of educational level, deferring to a subsequent semester, cancelling of Initial records, termination of Initial records (in consultation with Director) and registration of Initial records.
  • Work closely with International recruitment and admissions, the English Language Institute and with external departments including athletics, departmental coordinators and specialty programs such as the Executive MBA programs.
  • Regularly monitor and update information in the SUNAPSIS system as well as University electronic records of international students in Banner, Slate, IRIS, and other informational systems.
  • Coordinate the international student on-boarding including sign-ups, scheduling, room reservations, and new student materials.
  • Assist with New International Student Orientation
  • Assist with centralized administrative duties including occasional reception desk coverage, filing, and other duties.  


Qualifications
Required Education and Experience:  High school diploma or some college and specialized education and three years office experience; bachelor’s degree with one year office experience.

Preferred Experience: Experience working with individuals from other cultures. Familiarity with applications and database systems such as IRIS, Banner, SEVIS, and Slate.

Job Skills: Excellent written and oral communication skills; Ability to work successfully with people from other countries/cultures; Strong organizational skills and attention to detail; Strong computer skills/email/Microsoft Office Suit; Ability to manage many different tasks/duties at the same time;
