General Description:

The Coordinator, Academic Systems & Support is responsible for ensuring compliance with established Division and College standards, practices and policies, while working collaboratively with other departments within the Division in the coordination of administrative processes related to faculty workload, seniority and compensation. The Coordinator manages Banner non-credit systems, coordinating all upgrades, implementations, and testing. The Coordinator is responsible for Banner Student non-credit section records as they relate to course maintenance, scheduling, and oversight of section attendance. The Coordinator acts as a liaison to various departments within the College regarding faculty workload and eligibility for credit and non-credit courses, in addition to payment and contractual issues.

Specific Responsibilities:

• Analyze and process c-forms and paysheets, ensuring accuracy of all information, including pool level/pay rate, workload eligibility, and budget accuracy, in an effort to maintain compliance with the collective bargaining agreements (CBAs) and College processes and procedures.

• Coordinate, maintain and monitor credit and non-credit faculty workload data/availability, providing ad-hoc reporting as needed, and respond to contractual inquiries, researching and preparing materials as needed to provide solutions and answers in accordance with the CBA and College processes and procedures.

• Record and maintain seniority for the Adjunct Faculty, Visiting Lecturers and part-time Lab Aides/Lab Specialists for both credit and non-credit.

• Manage the non-credit production schedule as it relates to all scheduling activities for the non-credit divisions utilizing Banner; coordinate and arrange Banner schedule processes with the Office of Records and Registration, Academic Scheduling Office, and Information Technology Services to ensure course catalog deadlines are met, while ensuring course information is entered accurately into Banner.

• Monitor the Master Schedule Maintenance Form as it relates to non-credit requests and serve as a scheduling change and update resource to the non-credit divisions utilizing Banner; manage all Banner system changes and modifications surrounding non-credit courses.

• Prepare reports to support non-credit catalog issues, such as errors for correction, and ad hoc reports for enrollment, section management, head count and scheduling.

• Assist the Manager in establishing and maintaining work procedures and standards to improve efficiency and effectiveness of assigned credit and non-credit operations, document all processes and procedures, and maintain a well-organized process library.

• Direct the work of student workers in the department of Academic and Student Success Operations.

• Maintain the security and confidentiality of all documents on behalf of the work area and the College.

• Assist in the maintenance of databases and spreadsheets for Division programs and services including workflow tracking and workload management.

• Assist with special projects as directed, collaborating with internal and external constituents to ensure completion of project deliverables.

• Maintain sensitivity, understanding, and respect for a diverse academic environment, inclusive of students, faculty, and staff of varying social, economic, cultural, ideological and ethnic backgrounds.

• Deliver quality customer service to both internal and external constituents in a professional helpful and courteous manner.

• Perform assigned duties in a manner consistent with the mission, goals, and core values of the College.

Minimum Qualifications:

• Bachelor’s degree from a four-year (4) institution of higher learning required. Any and all degrees must be from a recognized institutional accreditor.

• Three (3) years of relevant work experience in systems administration or the coordination of systems-related processes required.

• Experience working in an integrated computer-based-administrative-systems environment required.

• Strong customer-service philosophy and skills required.

• Strong interpersonal, verbal, and written communication skills required; strong problem solving and organization skills required.

• Strong technical skills to include the ability to use MS Word and MS Excel required.

• Demonstrated effectiveness in the implementation and coordination of processes and procedures required.

• Ability to respond effectively to issues and bring problems to resolution required.

• Ability to produce high-quality work with strong attention to detail required.

• Ability to meet deadlines and manage multiple and changing priorities in a fast-paced environment while working independently required.

• Ability to maintain confidentiality and use discretion in managing employee information required.

• Ability to maintain sensitivity, understanding, and respect for a diverse academic environment, inclusive of students, faculty, and staff of varying social, economic, cultural, ideological, and ethnic backgrounds required.

Preferred Qualifications:

• Three (3) years of relevant work experience in a higher education environment preferred.

• Banner preferred.

• Ability to produce reports utilizing an enterprise-wide software reporting tool preferred.
