Job Description:

You are invited to join the College of Health & Human Performance (HHP) by applying for the Administrative Support Assistant II (ASAII) position in the College’s Business Office. The ASAII position works closely with faculty and staff throughout the college, playing an important role in ensuring both financial and human resources activities are handled timely and accurately. Highly developed organizational skills, critical thinking, self-motivation, and a desire to contribute to the College’s success are critical to the position in addition to strong Excel skills and the capacity to learn financial and human resources management software.

Human Resources (HR)/PAYROLL - DISTANCE EDUCATION (DE) SPECIFIC
(UF ONLINE, ONLINE MASTERS, CERTIFICATE PROGRAMS)

  • Secure headcount and fee schedule information to calculate instructor and teaching assistant payments each semester for all Distance Education courses, working with other team members to ensure accuracy and compliance with enrollment numbers and college payment/budget models.
  • Enter payroll distributions and tuition waivers, ensuring data and funding availability is accurate.
    Complete hire paperwork for hires in these programs. Prepare reports on course schedules, enrollment and class rosters and other related data.
  • Maintain internal spreadsheet for reconciliation of revenue and expense transactions.

PROCUREMENT & DISBURSEMENTS

  • Maintain working knowledge of University of Florida Procurement Directives and Procedures. Maintain working knowledge of University of Florida Disbursement and University of Florida Foundation Directives and Procedures.
  • Process requests to add vendors assisting intended vendors with the University’s process to become a vendor.
    Enter purchasing requisitions into the UF system.
  • Track requisitions and complete change orders as needed.
    Reconcile PCard charges for the Dean’s office administrative area, verifying account information, description, and business purpose of charges.
  • Coordinate the purchase of office supplies for the department.
  • Process payment of invoices and honorariums or other services rendered.
  • Serve as backup to Dean’s Office Administrative staff for travel activities, reservations, registrations, travel authorizations, and expense reports.

OTHER DUTIES

  • Provide general accounting support to HHP departments by requesting the necessary account information, generating accounting reports and performing data searches as needed.
  • Provide assistance to HHP departments in procurement and disbursement areas as well.
  • Assist HHP departments with resolution of minor problem issues, referring more difficult issues to Finance Manager or Director.
  • Process deposits Submit Requests for Approval of Perquisites or Sale of Goods and Services for the Dean’s Office Administrative area.

Expected Salary:

Up to $21.63 per hour

Minimum Requirements:

High school diploma or equivalent and four years of relevant experience.

Preferred Qualifications:

Employee must be a self-starter and able to work independently.

Must be skilled in Excel.

Knowledgeable of State of Florida, University of Florida and Board or Trustees rules, regulations and policies.
Skill in utilizing PeopleSoft/Enterprise Systems reporting tools.

Hands on experience with implementing UF HR/Academic Personnel regulations, and Financial procedures and processes.

Skilled in utilizing UF PeopleSoft HR, Finance, Payroll systems.

Skilled in prioritizing and managing a heavy workload.

Ability to establish and maintain effective working relationships.

Excellent verbal and written communication skills, including the ability to provide instruction.

Strong organizational skills necessary.

Monday-Friday 8-5 or flexible hours possible
