Administrative Associate 2, CEHHS Office of Advising and Student Services
Regular, Fulltime, Pay Range MR04

This position coordinates all initial communication with current and prospective students for the CEHHS Office of Advising and Student Services. This involves monitoring multiple phone lines, the office’s general email account, and scheduling student advising appointments. This position also oversees student profile changes and works closely with other office staff on a variety of administrative support functions related to teacher licensure processes, new student orientation, and recruitment/retention initiatives.

Job Functions/Responsibilities:
Provides administrative support and coordinates communication with students, staff, and faculty:
• Primary point-of-contact for inquiries to the CEHHS Office of Advising and Student Services.
• Responds to and/or refers telephone, email, and in-person inquiries from students, staff, faculty, alumni, and others as appropriate.
• Collaborates with the office's Administrative Associate II and Assistant Director of Recruitment and Retention to assign student work study tasks/projects, monitor completion, and aid in work study students’ professional development.
• Prepares documents as requested such as the out-of-state verification forms for teacher licensure, course overload requests, course certifications for non-degree seeking students, and Academic Common Market verifications.
• Schedules student appointments in Vol Academic Connect (a.k.a. Navigate, the student appointment scheduling system) for all academic advisors, coordinators, and directors in the center.
• Supports the office's Administrative Associate II and Assistant Director with website updates.
Oversees student profile process and assists with orientation:
• Updates student profiles using Banner (Student Information System). Processes change of major/minor requests, catalog year updates, and students' advisor assignment for the office and for other staff/faculty in the college.
• Prepares, audits, and maintains student files and related databases used by Director to track enrollment trends and to create office usage reports.
• Runs academic histories, current schedules, and clears registration/advising flags in coordination with advising staff.
• Compiles and manages reports/records by staff request using Argos, Navigate, or internal student databases.
• Assists with new student and transfer orientation and as a resource for students as they register for classes.
Prospective student coordination and retention support:
• Coordinates prospective student appointments with UT Admissions and individual
students/families.
• Serves as the first point of communication between our center and current/prospective students. This includes providing pre-advising information to newly admitted transfer students and maintaining the office's general email account which receives most initial inquiry messages.
Outreach:
• Supports the Assistant Director of Recruitment and Retention with coordination of the Dean's Undergraduate Advisory Board (DUAB).
• Supports the office's Administrative Associate II and Assistant Director of Recruitment and Retention in developing informational/promotional materials. May use Canva or other products to support the creation or updating of office materials.
• Other duties as assigned.



Qualifications
Position Requirements:

Education
• Associate’s Degree required.

Required Level/Type of Experience
• At least one year of experience managing complex, detail-oriented projects in a fastpaced environment. The person in this position must be able to demonstrate exceedingly strong customer service, written and oral communication, and interpersonal skills. Experience effectively communicating with diverse populations is required.

Preferred Level/Type of Experience
• Two years of experience managing complex, detail-oriented projects in a fast-paced
environment, preferably with some experience in a university setting.

Needed Competencies/Qualifications
- Exceedingly strong customer service and interpersonal skills.
- Ability to learn and use Banner
- Ability to learn and use Navigate, UT's appointment scheduling program
- Knowledge/proficiency of Microsoft Office Suite, particularly MS Word, Access, Excel, and Outlook.
- Ability to multi-task.
- Ability to work independently.
- Ability to train others.
- Ability to handle deadlines/high traffic environment efficiently and expeditiously.
- Ability to communicate effectively with a broad range of individuals.
- Ability to learn and use Canva or similar tools for drafting office materials.
- Ability to learn WordPress.
