The Department of Obstetrics and Gynecology has an opening for a full-time University Staff (unclassified) Administrative Assistant III position.

Nature of Work

The Administrative Assistant for the Division of Reproductive Sciences in the Department of Obstetrics and Gynecology at the University of Colorado, School of Medicine is responsible for providing administrative support for the faculty, staff, professional research assistants, and postdoctoral fellows/trainees in the Division. The Administrative Assistant will be responsible for day-to-day activities within the Division, ensuring support of the Division’s, Department’s and School’s mission and goals.

Professional Field

Requires a high school diploma or equivalent and 3-5 years’ experience in an administrative role; bachelor’s degree preferred.

Supervision Received

This position will work under the direction of the Division Administrator and the Division Chief.

Supervision Exercised

There is no direct supervision with this position.

Examples of Work Performed

  • Work under the direction of the Division Administrator and the Division Chief, stay current, comply with the departmental, university, federal, and state fiscal rules, policies, and procedures.
  • Support the DRS Chief
    • Manage calendar
    • Participate in Division meetings (Faculty and Staff Meetings), generate meeting minutes
    • Communicate with selected individuals on behalf of the Chief, per Chief’s requests
  • Responsible for the Reproductive Science Seminar Series, The Journal Club, and The Fellows Chalk Talk
  • Initiate communication with selected speakers and gather needed informationBook flights and make hotel reservation (if needed), schedule rooms and meetings, generate itineraries, create flyers, and disseminate informationCoordinate catering orders and room set-up needsMaintain expenditure records
  • Responsible for providing general support to the DRS faculty members, staff, PRA’s, postdoctoral fellows
  • Greet and assist visitors and guestsManage current lists of DRS members  Make travel arrangementsProcess reimbursements and honorariums Maintain office supplies inventory; anticipate needed supplies; place orders; verify receipt of suppliesEnsure operation of equipment by completing preventive maintenance requirements; call for repairsAssist with courier shipping, receive and distribute mailCoordinate catering when neededSchedule meetings for internal and external participantsManage conference room reservationsProcess facilities requestsSuggest changes to office task workflow to improve efficiencyEnsure DRS suite is kept clean and organized at all timesAttend training, town-hall meetings and forums related to relevant University processes.Other duties as assigned by the DRS Chief and DRS Administrator.With the needed training provided, Administrative Assistant for the Division of Reproductive Sciences may provide backup support and assistance to other departmental administrative support staff.Salary and Benefits:

    The salary range for this position has been established at $43,188 – 50,000 and is commensurate with skills and experience.

    The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.

    Qualifications
    Minimum Requirements

    • A high school diploma or equivalent.
    • 3 years of experience in a relevant field.
    • Substitution:  Education in a relevant field may substitute for experience on a year for year basis.
    Preferred Qualifications

    • 5 plus years of experience in an administrative role.
    • A bachelor’s level degree. 
    Knowledge, Skills, and Abilities

    • Excellent computer skills, proficiency using both a Mac and PC, including all Microsoft Office applications, and ability to quickly understand and operate specified University operational and web-based systems. 
    • Demonstrated ability to independently perform a wide range of responsibilities.
    • Excellent verbal and written communication skills 
    • Proven ability to maintain cooperative working relationships both internally and externally. A positive, highly motivated, energetic, and collaborative professional attitude. 
    • Ability to coordinate and collaborate with multiple internal and external parties.
    • Ability to perform in a fast-paced, challenging, and diverse environment
    • Must exercise independent judgment and discretion when deciding upon procedures to be implemented, setting priorities, maintaining standards, and resolving problems. 
    • Ability to manage and perform a variety of routine and complex assignments with considerable independent judgment
    • Must be detail-oriented with exceptional organizational skills.
