Job Description

The Graduate Admissions & Records Coordinator (GARC), under general supervision, develops and leads the admissions processing for all graduate programs at Texas A&M University-San Antonio (A&M-SA). Would serve as the manager of the GradCAS application service system at A&M-SA. Provides admission information to prospective students regarding graduate academic programs. Supervises matriculation, academic standing, degree confirmation, theses/dissertation publication, graduate catalog, graduate appeals, and Graduate Council operations. Provides support to the administration, faculty, and staff of the colleges in activities related to graduate admissions, application processing, and registration.

Roles & Responsibilities:

  • Evaluate Graduate Admission applications in accordance with institutional policy and provide professional knowledge to applicants and Graduate Advisors about graduate admission processes and policies.

  • Evaluate transcripts for degree equivalency and grade point average.

  • Update applicant and student records.

  • Review and enter admission decisions.

  • Responds to inquiries from applicants, Graduate Advisors, and others about the application process.

  • Refer students to appropriate college departments for in-depth advising.

  • Following up with applicants to obtain materials necessary for file review.

  • Keep up to date on admission requirements or changes in graduate programs.

  • Refers prospective and enrolled undergraduate and graduate students to areas concerning college admission, re-admission, professional concerns, student financial aid, and student services.

  • Assists in the development of materials, forms, and functions including presentations regarding graduate admissions.

  • Supervises matriculation, academic standing, degree confirmation, theses/dissertation publication, graduate catalog, and graduate appeals.

  • Requires regular and ongoing professional development.

  • Performs other duties as assigned.

Required Education & Experience:

  • Bachelor's degree.

  • Two years of related experience in graduate studies operations.

Knowledge, Skills, and Abilities:

  • Knowledge of word processing, spreadsheet, and database applications.

  • Knowledge of student information systems, degree planning, and degree audits.

  • Ability to multitask and work cooperatively with others.

  • Ability to present information clearly and concisely.

  • Ability to work with sensitive information and maintain confidentiality.

  • Excellent written communication, analytical, interpersonal, and organizational skills.
