The Administrative Associate 2 provides timely general administrative support to the Director of Risk Management in matters relating to administration, finance, and human resources activities. This includes the scheduling of meetings and appointments, drafting, editing, and proofing documents, spreadsheets, and reports, maintaining departmental account ledgers and financial transactions into IRIS. This position also provides backup support to the Risk Specialist, Insurance Coordinator, and Workers' Compensation Coordinator.  

This is a non-exempt position at the rate of $17 per hour. Remote work is not available for this role.

Duties and responsibilities include, but are not limited to, the following:

  • Provides customer service to internal and external stakeholders, including answering phones, responding to email inquiries, shipping, mailing, faxing, copying, general secretarial, and administrative work
  • Researches, tracks, compiles, and prepares documents, presentations, spreadsheets, reports, folders, charts, operational and procedural manuals
  • Maintains office supply inventory
  • Administers the SORM website including writing, editing, proofreading and publishing of site content
  • Interacts with supply and service vendors and serves as point of contact for space, equipment, or facility issue
  • Provides logistical support, including scheduling, organizing, preparing, packing, and coordinating meetings, events, travel plans, and conference calls, including creating itineraries, recording and distributing minutes.
  • Manages and coordinates calendars 
  • Provides financial support for a unit, including financial processing and reconciliation tasks
  • Other related duties as assigned


Qualifications
Qualifications

A high school diploma and two years of relevant administrative experience, or an equivalent combination of education, training, and experience, is required. A bachelor’s degree and one year of relevant experience is preferred. 

Additional required qualifications include:

  • Experience using computer software including Outlook, Word, PowerPoint, Excel, Teams, Zoom, and Adobe products
  • Excellent customer service skills
  • Strong interpersonal communication skills
  • The ability to gather data, compile information and prepare spreadsheets and reports
  • The ability to use tact and discretion when dealing with a variety of issues
  • Must be able to meet supervisor's expectations for communication and project completion
