Job Description:

Under the supervision and direction of the department Graduate Coordinator, the incumbent will:

(1) Assist with graduate student orientation programs. Coordinate enrollment of graduate students in departmentally controlled graduate courses, including Employee Education Program requests. Assist graduate students with program forms and requirements, examination forms, procedures for depositing theses and dissertations and completing degrees, committee meetings, and related procedures. Monitor graduate student progress and work with faculty on graduate student matters. Organize and maintain graduate academic files, including approved course lists, course approval/revision forms, and related items. Collect and store electronic versions of non-thesis projects for department repository. Arrange logistics and prepare materials for Graduate Committee meetings. Distribute notes to attendees. Assist with the graduate scholarship award application and selection process.

(2) Assist prospective graduate students with admissions processes and communicate with faculty about the status of prospective student interactions and admissions. Coordinate graduate student recruitment efforts and represent the department at various local and off-campus recruitment events. Organize departmental graduate student recruitment events. Arrange campus visits for prospective graduate students. Work with Graduate Coordinator in maintaining prospective graduate student database.

(3) Serve as the department’s liaison to CALS and the Registrar on all graduate student matters. Submit graduate petition paperwork. Submit/monitor new/revised graduate course and curriculum requests. Recommend policies and procedures to the Graduate Coordinator in the department. Assist with SACS and BOG reports. Transmit graduate student award applications. Distribute graduate satisfaction surveys.

(4) Provide updates on academic programs to the Marketing & Communications Specialist, eLearning Specialist, and faculty for inclusion in electronic newsletters, website, and social media. Collaborate with department staff assigned to support online academic programs and courses.

(5) Schedule departmental courses each semester. Set up departmental course evaluations each semester. Complete the departmental Academic Activities Report each semester. Update departmental Material & Supply Fees and Equipment Use Fees. Is the department-level grade coordinator.

(6) Is actively engaged as a member of the academic advisement community through participation in appropriate college and university-level organizations. Participates in monthly meetings with the AEC e-Learning Committee.

Advertised Salary:

$38,900-$41,500 annually

Minimum Requirements:

Bachelor's degree and two years of relevant experience; or an equivalent combination of education and experience.

Preferred Qualifications:

BS degree required, preferably in education, agriculture, or related area and at least two years of experience. Master’s degree desirable. Knowledge of student academic advising, admissions, and recruitment processes desirable. Excellent written and oral communications skills required. Must be well organized with a strong desire to develop advanced expertise in all aspects of academic programs coordination. Frequent interactions with current and prospective students (undergraduate and graduate) require a professional, inviting, and service-minded approach to the position. Must demonstrate integrity and confidentiality with regard to student records. Must be an enthusiastic supporter and promoter of the department, college, university, and community.
