Academic Affairs Financial/HR Specialist

This position supports the activities, staff, and leadership of several offices within Academic Affairs including but not limited to the Provost’s office, Innovation Program, Excel Centers and Cybersecurity Initiative. This position provides human resource and financial administration to multiple units.  This position supports events and trainings, supports the staff and affiliated committees, and manages websites and other marketing materials.

Job Duties:

  • Serves as unit Human Resources Liaison.

  • Prepares letters of offer and appointment changes.

  • Coordinates and supports annual evaluation process of direct reports.

  • Supports salary merit increase process by providing salary and compensation pool information.

  • Prepares Salary Increase Report for provost’s area.

  • Processes provost’s area monthly leave upload

  • For the Innovation Program this position prepares lecturer contracts for fall, spring and summer classes, and sends and tracks contracts for signature, entering contracts into system once completed.

  • Serves as primary financial and budget manager.

  • Establishes and monitors general fund budgets. Reviews financial expenditures and projects budget shortfall or surpluses.

  • Prepares/processes contracts and invoices for and reconciles department accounts monthly to reflect accurate charges and resolves discrepancies on all accounts

  • Maintains a current knowledge of CU policies and procedures.

  • Processes journal entries, budget journal entries, and cash transfer requests.

  • Processes end-of-fiscal-year close-out activities.

  • Researches, recommends, and implements solutions in response to budget funding issues.

  • Provides budget reports.

  • Maintains database of provost unit salary lines, general fund budgets and annual budget commitments.

  • Processes annual Outstanding Teacher, Instructor and Research Excellence award payments, Faculty Assembly Women’s Committee award distributions, and Teaching Enhancement Grant distributions.

  • Designs, proofreads, and routes documents.

  • For some units as needed:

    • Plans and organizes events, trainings, and committee meetings.

    • Updates, organizes, and builds web pages.

    • Assists with scheduling and implementation of academic program reviews.

    • Conducts special projects as needed.

  • This position has been determined to be exempt from the overtime provisions of the Fair Labor Standards Act (FLSA).

    What We Offer:

    Salary Range: Generally starting at $43,426 - $56,033

    The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.

    Tentative Search Timeline:

    • The potential dates for interviews with the search committee will be the week of 6/4/2021.

    Qualifications
    Minimum Requirements:

    Bachelor’s degree PLUS two or more years progressively responsible, full-time work experience OR Associates degree PLUS four or more years progressively responsible, full-time work experience.Two or more years demonstrated experience and proficiency with multiple software systems (e.g., finance systems, HR systems, compliance or research systems; Microsoft Office Suite). 

    Preferred Qualifications:

  • Two or more years of experience working at an institution of higher education.
  • Experience working with PeopleSoft, Concur, HCM and CU Marketplace.
  • Demonstrated experience in managing websites.
  • Physical Requirements:

    While performing the duties of this job, the employee is frequently required to sit.  Employee is occasionally required to move. Tasks may involve using a computer screen continuously for long periods of time. The employee must occasionally lift and/or move up to 10 pounds.
