Departmental Overview

The Department of Intercollegiate Athletics consists of more than 275 staff members and coaches and sponsors 30 varsity sports programs. These 30 programs include more than 850 student-athletes who participate in the various sports programs annually within the National Collegiate Athletics Association (NCAA). We are currently seeking a Director of Operations who will work within the department's Volleyball team.

Responsibilities

The Director of Operations will provide administrative support for all Volleyball program activities. The incumbent will assist the Recruiting Coordinator in all aspects of the recruiting process. In conjunction with the coaching staff, the Director of Operations will assist in the development and coordination of youth camps and coaching clinics. The incumbent will create a monthly newsletter to parents, alums, and campers as well as coordinate the travel arrangements for three assistant coaches. In addition, the Director of Operations will assist with annual special events (Golden Bear Classic, Alumni Event, Golf Tournament, Pac-12 Tournament, etc.). The incumbent will also assist in the coordination of team travel and will travel with the team as necessary. This is a contract position for one year with the possibility of renewal.
  • Assistant Budget Manager: Create, maintain and track annual budget.
  • Travel: Coordinate and schedule all aspects of travel for team and staff to accommodate airline flights, hotel reservations, transportation to correspond with game schedule, team meals, and transportation of all team equipment. Must travel with team as required - usually every other weekend during the fall season. Responsible for all monetary transactions for team and all staff while traveling.
  • Summer Camps: Serve as advanced skills camp assistant director, advanced skills position camp assistant director, team camp assistant director, and kids camp assistant director. Promote camp within the community. Solicit high school varsity, junior varsity, middle school and club teams for team camp.
  • Community Outreach: Oversee the promotion of Cal Women's Volleyball in the community. Organize Sports 4 Kids Day Camp alongside Renaissance Foundation. Serve as a liaison with local high school administrators to coordinate group meet-and-greets with.
  • Equipment: Oversee and manage equipment ordering for team and staff through Under Armour. Oversee and operate all video equipment and technical devices used by the team.
  • Supervisory Responsibilities: Supervise and direct team managers and camp counselors.
  • Daily Administration: Assist Head Coach and Assistant Coaches with day to day office operations. Serve as liaison between the Head Coach and the Deputy Director of Athletics, Pac-12 Conference, marketing department, ticket office, events management, Sports Information Director, scheduling department, business office and travel department. Observe practice and film sessions during the season and individual workouts during the off-season. Coordinate and manage the team's training table schedule and menu with team Strength and Conditioning Coach and Nutritionist. Assist with scheduling games, both home and away for upcoming season. Draft and distribute for approval all game contracts.
  • Recruiting: Responsible for coordinating and planning coaches' travel during recruiting time. Prepare all travel reports, approval forms and budgetary allocations for three coaches.
  • Game Day Responsibilities: Serve as tournament coordinator for Golden Bear Invitational and Cal Molten Classic tournaments. Work evenings as required for volleyball games and events. Coordinate equipment set-up for home and away pre-game practices. Record and stat all volleyball matches using Data Volley Software. Report to the Head Coach and assistants after each competition with a breakdown of all Data Volley information. Coordinate all pre- and post-game receptions and the end of the season banquet. Assist marketing with all game day experience plans.
  • Video: Responsible for all video and game tracking using Data Volley and Data Video software programs. Film team practice and games and analyze film. Responsible for all video scouting of opponent game film. Oversee, operate and maintain all video equipment, computer software, and video equipment accessories for home and away games.
  • Public Relations: Oversee the Spike Club (Women's Volleyball Booster Club) by organizing club functions and events to promote the women's volleyball program. Plan and execute post-game receptions and end of the year team banquet.

Required Qualifications
  • Bachelor's degree or equivalent years experience and/or training.
  • Experience using Data Volley software and programs.
  • Experience with MS Word, Outlook, and Excel.
  • Experience coordinating travel arrangements for large groups.
  • Strong understanding of the game of volleyball, or equivalent playing experience at the collegiate level.
  • Experience creating, maintaining, and tracking budgetary allocations and expenditure.
  • Excellent computer skills.
  • Exceptional communication skills, both written and verbal.
  • The ability to manage multiple tasks, remain organized, deal with a heavy workload and prioritize work.
  • Must be able and willing to travel with team every other weekend during the fall season, as well as work evenings and weekends, as required.

Preferred Qualifications
  • Knowledge of NCAA recruiting policies.
  • Familiarity with the Pac-12 Conference.
  • 3 years of collegiate athletics experience preferred.
