Project Associates serve as an organizational point person, supporting projects at a higher level than Project Coordinators. Associates ensure that major milestones are achieved, under the oversight of a Project Manager. Project Associates work with a degree of independence, but under supervision.
UVA's Office of Audit and Compliance (OAC) is seeking an Office Manager to support the Audit Department, Institutional Compliance, and Records and Information Management units comprising the Office. The Office Manager supports the OAC team by providing fiscal administrative support and meeting coordination/calendar scheduling. Other responsibilities include:
Fiscal Administrative Duties:
Work with OAC leadership on the annual budget submission in Adaptive for each unit within the OAC - - Ensure that expense reports are submitted and invoices paid in a timely manner
Act as the ExpenseUVA (or other expense system of record) fiscal approver
Prepare individual monthly Recon@ (or similar) reports for each unit of the OAC
Act as a delegated user in TravelUVA to book work-related travel for the leadership team
Prepare requested financial analyses using Workday, UBI, Adaptive, or other standard financial tools
Coordinate office supplies purchases and equipment maintenance, as needed
Administrative Duties:
Help continuously improve administrative workflow in the office
Assist the Chief Audit Executive in preparing the Board of Visitor's Audit, Compliance, and Risk Committee materials
Assist in the onboarding / off boarding of OAC staff
Assist in onboarding and off boarding co-sourced and outsourced vendors’ staff to obtain necessary UVA system access
Assist with large-scale office-wide projects
Assist in developing training and conference materials to comply with National Association of State Boards of Accountancy (NASBA) policies and procedures for granting Continuing Professional Education (CPE) credits
Ensure that the office maintains National Association of State Boards of Accountancy (NASBA) documentation and reporting compliance
Ensure Audit team’s required CPE credits are uploaded into Onspring
Assist in maintaining the Audit Manual of departmental standards and practices
Facilities Management Liaison Duties:
Serve as the liaison with Facilities Management and the Carruthers mayor to address any issues with the office space
IT Resources Coordination Duties:
Coordinate IT resources with the local service provider and communicate with staff about required technical updates.
Update the departmental website for Audit.
Assist the OAC Leadership Team in other tasks as assigned.
The Office Manager is expected to maintain confidentiality at all times when working with privileged or sensitive data.
A Bachelor's degree is required with at least two years of experience. Relevant experience may be considered in lieu of a degree. Prior administrative assistant and/or office manager experience gained in a professional setting is preferred.
