  • Provide administrative support to postgraduate training programs.
  • Prepare accreditation documents for accreditation site visits and assist with the continuing accreditation of the assigned residency programs.
  • Communicate with appropriate oversight bodies (ACGME, AOA, COPT, Rocky Mountain OPTI, etc.) as required to main good standing for the program.
  • Act as the primary liaison between the Program Director (PD), residents, Sponsoring Institution, hospital administration and clinical faculty.
  • Coordinate recruitment efforts including phone and e-mail inquiries from applicants, marketing, web-site, and scheduling interviews. This may include travel.
  • Coordinate educational activities and assist residents with schedules, forms, residency requirements, vacations and sick days as needed. Communicate rotation schedule each month with preceptor contact information.
  • Utilize an electronic residency management software program and other on-line tools such as MedHub, New Innovations and ADS in the coordination of the program. This includes trainee schedules, vacation, sick, conference and work hours was well as pertinent documents.
  • Assist Program Director with didactics schedule, in-service exams and the creation of an annual budget.
  • Coordinate meetings of the Clinical Competency Committee (CCC), Program Evaluation Committee (PEC), and take minutes at all residency and OPTI related meetings.
  • Ensure that all evaluations are received timely according to policy.
  • Maintain a primary office at the clinical training site to provide administrative access to the residents.
  • Provide support and assist the residency program directors and Designated Institutional Official (DIO) with all ACGME regulatory and governmental policies, procedures, rules and regulations.
  • Submit core faculty monthly timesheets in a timely manner.
  • Generate letters and correspondence for review and signature of the PG, ADME, Division Director and DME.
  • Maintain PD calendar, schedule all meetings, events, travel and expense reports as required.
  • Perform research including internet searches and literature searches utilizing library and electronic resources as directed.
  • Other duties as assigned by the Dean, Provost or Program Director.
  • Qualifications

    1. Assist administration, faculty and staff in special projects as required.
    2. Participate in community and professional outreach activities on behalf of the college and university.
