SUMMARY: 

This position handles the daily accounting activity for the university. In addition to handling the university’s cash management and monthly reconciliation, this position also assists students, employees, and others as needed. This position is a primary back-up to Accounts Payable, Accounts Receivable, and the payroll functions of the University.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following.

  • Cash Management (10%) - Daily check of cash balances at bank. Prepares regular cash reports. Transfers and uploads direct deposit and payables e-files. Oversees federal cash draws of federal financial aid and grant funds.
  • Month End Close (20%) – Conducts monthly bank reconciliations, journal entries, credit card allocations, monthly closing in Ellucian Datatel.
  • Audit (20%) - Primary contact with financial auditors, prepares annual workpapers, schedules and oversees annual audit, regular discussions with auditors.
  • Grant Monitoring (5%) - Works with University Relations for account setup for new grants, accounting for grants, regular review of grant accounts, annual grant reports (as needed), regular discussion with U/R regarding grant funds.
  • Support for A/R, A/P and Payroll Functions (10%) - Primary backup for all of the above functions. 
  • Preparation of Quarterly and Annual Reporting (15%) - Prepares quarterly 941, state quarterly tax returns, state unemployment, state sales tax return, annual W-2s, 1098Ts, 1099, Form 990, IPEDS reporting.
  • Maintaining budget setup in Datatel (5%) - Creating new budget lines as needed, giving access to those budget lines in Charger Stable, and procurement assistance. 
  • Daily requests (10%) - This position receives daily requests from various departments.  Must be able to prioritize work, research requests, and return timely, appropriate information.

BUDGET MONITORING/ADMINISTRATION:

A fair amount of time is spent on cash management and budget monitoring with daily reviews of cash accounts to determine if transfers need to be made. Weekly reports of cash position and regular cash projections for month, semester, and school year. Regular monitoring of budget vs. actual spending. Setting up new budget lines as they are approved. Granting access to budget areas in Charger Stable & procurement.

QUALIFICATION REQUIREMENTS:

Education

Requires a four-year college degree, preferably in accounting or finance.

Certifications, special licenses, accreditations, specific software programs, or other skills required for this position:

  • Knowledge of Ellucian/Datatel software preferred
  • Experience with Microsoft Office Suite of programs

Work Experience

The minimum amount of related work experience needed for someone to be effective in this position is three years.

Knowledge

The knowledge and skills required to accomplish assigned tasks:

  • Knowledge of Generally Accepted Accounting Principles (GAAP)
  • Financial Reporting, Accounts Receivable, Accounts Payable, Payroll
  • Grant Accounting
  • Knowledge of cash management
  • Customer service skills
  • Strong computing skills and the ability to learn new software quickly
  • Strong skills using the Microsoft Office Suite of programs
  • Ability to work independently as well as with a team
  • Attention to detail

SCOPE OF RESPONSIBILITY: 

Environment

  • VP for Finance assigns the work; others as needed/requested
  • Majority of work is done independently with authority to make most decisions regarding the work
  • Certain cash management decisions, budget decisions, endowment/gift decisions require referring to others before taking action

VP for Finance reviews work Management

The job does not require supervision of others but does require acting as a team leader/coach for others with regard to work

ADDITIONAL INFORMATION

This position requires organization and attention to detail and the ability to multitask and quickly change work directions in workflow.  Must also be able to handle regular interruptions in daily workflow.  Providing good customer service is also key.
