JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: Under the direction of assigned supervisor this position is responsible for the scheduling of the department’s residency program which includes long range planning, maintaining databases, monthly scheduling, and committee participation. Duties include managing multiple projects including daily, monthly, and annual schedules for 24 residents.

 

DUTIES AND RESPONSIBILITIES:

    Compiles, distributes, and maintains residents monthly rotation schedules.  Responds to daily phone calls, emails, and personal contacts regarding residents.Schedules resident Didactics, Grand Rounds, Skills Labs, and Practice Management sessions.Maintains resident duty hour compliance.Disseminates and collects of resident evaluations.Maintains essential resident documents, including dashboards, certifications and other pertinent information for file.Maintains and updates residents sick time, annual leave, CME time, and monitoring of resident moonlighting.Prepares resident documents for quarterly faculty meetings to discuss resident performance. Schedules quarterly resident meetings with their assigned faculty mentor.Maintains noon conference attendance for residents and faculty.Schedules outside speakers for noon conference including pharmaceutical guest speakers.Establishes relationships and acts as a liaison to other Hospitals, outside rotation preceptors, and internal departments.


Qualifications
MINIMUM REQUIREMENTS: 

EDUCATION: High school diploma or GED. (TRANSCRIPT REQUIRED)

EXPERIENCE:  Four (4) years secretarial or administrative office experience previous experience in management, planning and /or scheduling, healthcare experience preferred.; OR Associate’s Degree, Associate (2) months of secretarial or administrative office experience.

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Ability to provide excellent customer service.
  • Ability to work with diverse personalities.
  • Ability to function independently.
  • Ability to display excellent communication skills, excellent computer skills, and excellent organizational skills.
  • Knowledge of numerous telecommunication/media software.
  • Knowledge of medical terminology and transcription.
