Job Description Summary

Reporting to the Executive Director for the Office of Career Strategy (OCS), the Career Services Administrative Coordinator provides a welcoming environment to students and serves as a first point of contact for employers and other visitors to Penn Law’s Office of Career Strategy. The role provides senior administrative and project support for the programs and services of the office, including interview programs, job posting and employer events, student and alumni counseling appointments, marketing and communications, resource and program development, and data collection. This is a regular full-time position, which is expected to be on site, with limited flexibility for work from home in accordance with Law School and University guidelines during the pandemic.

Job Description

Responsibilities Include:

Coordinate and serve as the point person for all on-campus and regional interview programs; manage data and analytics that result from these programs:

  • Support all on-campus interview and regional interview programs, in both virtual and in-person formats, under the direction of the Private Sector Recruiting leader, and other department members responsible for these programs.

  • Manage employer registration, as well as the application process for all students participating in these programs.

  • Manage the Symplicity database, overseeing the bidding process and creating schedules; corresponding with vendors as needed. Provide students with logistical information to participate in on campus and regional interview programs.

  • Assist with all day-of program needs.

  • Organize student and employer data for participating students.

  • Facilitate allocation of these tasks as appropriate to work study and other temporary support staff and ensure their completion.

Coordinate, and serve as the point person for, job postings and employer recruiting events, ensuring consistency, accuracy, and compliance:

  • Manage posting of opportunities for Penn Law students and graduates to the Symplicity data base, ensuring timely and accurate posting that comply with OCS policies, maintenance of postings and removal of expired postings.

  • Facilitate employer registration and update contacts as needed. Correspond with employers as needed to post their jobs, ensuring a professional and welcoming experience for them.

  • Manage and organize employer in-person and virtual events, including, e.g., assisting with scheduling event, assisting employers with planning in advance of the events, greeting employers when they arrive, assisting with setting up and breaking down events, and receiving and returning employer promotional materials.

  • Facilitate allocation of these tasks as appropriate to work study and other temporary support staff and ensure their completion.

Assist in the development and delivery of CP&P student programs and services, and CP&P departmental processes and resources.

  • Assist with design and production of program resources, including, e.g. power point presentation, resource guides, handouts, webinars, and video tutorials, as well as the communications to students to promote such events.

  • Assist with the development and maintenance of student resources, including, e.g. online career services guides and templates, and alumni contact information.

  • Maintain and organize departmental SharePoint site. Compile and maintain department resources, processes and procedures in a manner that is accessible to all team members.

Welcome & assist students and visitors to the Office

  • Serve as first representative of the Office to students, employers and other OCS guests by providing welcoming and responsive assistance, both to those entering the Office and to those communicating via phone, email, and other media.

  • Assist students with basic question regarding events and resources, logging into Symplicity, and scheduling time with counselors.

  • Manage the systems and processes for scheduling appointments with OCS counselors.

  • Facilitate allocation of these tasks as appropriate to work study and other temporary support staff and ensure their completion.

Coordinate and lead the distribution and dissemination of all OCS marketing and communications, ensuring accuracy and timely delivery

  • Manage communications and dissemination of information to students, including delivering messages through specialized email software and technology platforms, maintaining the OCS bulletin board, designing and delivering newsletters, and supporting social media platforms.

  • Collaborate with communications department and other law school peers to learn, share information, and ensure consistent practices.

  • Maintain OCS website and related social media platforms.

Manage the collection and reporting of student employment data:

  • Manage data collection process for post-graduate employment data for all reporting requirements (e.g., NALP, ABA, US News & World Report).

  • Assist in collection and tracking of current student employment outcomes.

  • Prepare surveys and analyze data reported by students for various purposes including evaluating effectiveness of career services provided and understanding geographic and practice area interests of students.

OTHER DUTIES AS ASSIGNED

Qualifications:

EDUCATION/EXPERIENCE: A high school diploma or GED and five to seven years of experience, or equivalent combination of education and experience, are required; a college degree and a minimum of two years of increasing responsibility, preferably in higher education, are strongly preferred.

PROVEN ABILITY TO:

  • Coordinate and serve as the point person for all on-campus and regional interview programs, manage data and analytics that result from these programs

  • Coordinate, and serve as the point person for, job postings and employer recruiting events, ensuring consistency, accuracy, and compliance

  • Assist in the development and delivery of CP&P student programs and services, and CP&P departmental processes and resources.

  • Welcome & assist students and visitors to the Office

  • Coordinate and lead the distribution and dissemination of all OCS marketing and communications, ensuring accuracy and timely delivery

  • Manage the collection and reporting of student employment data

  • Perform other duties as assigned
