Administrative Specialist III

Market Range:  MR06

 

 

 

Primary duties for the Administrative Specialist III position include supporting the Associate Vice Chancellor and Chief Information Officer with complex administrative and clerical duties.   

 

 

Essential Duties:

 

  • Manage the AVC/CIO’s daily schedule and calendar
 

  • Work closely with other university offices in coordinating AVC/CIO involvement in university
Events

 

  • Coordinate with staff from Memphis, Chattanooga and Martin to maintain committee participation and calendar for AVC/CIO
 

  • Schedule travel to include airline, hotel, conference registration, rental car, taxi
 

  • Work closely with OIT Leadership Team in coordinating meetings, projects, and events
 

  • Coordinate OIT-wide events to include annual staff meeting and retirement functions
 

  • Independently compose correspondence on a variety of subjects requiring judgment, originality, and knowledge of issues involved
 

  • Compile, prepare, and maintain Excel reports on various projects
 

  • Manage Technology Fee website and administrative processes related to Technology Fee
 

  • Answer phones, greet visitors, and direct questions to appropriate offices for resolution
 

  • Maintain sensitive electronic and hard copy files
 

  • Complete requests and submit purchase order forms
 

  • Maintain OIT organizational chart using Microsoft Visio and keep up to date and posted on OIT website (Lisa?)
 

  • Coordinate OIT Student Scholarship Fund and Martha Bowen Scholarship Fund solicitation and other university-wide and office funding requests
 

  • Coordinate Big Orange Family Campaign; advising AVC/CIO each week with progress reports
 

  • KPB Emergency Preparedness Team coordination
 

  • Other duties as assigned
 

 

 



Qualifications
Qualifications

 

Candidate must have exceptional planning and organizational skills; ability to work on multiple projects simultaneously; ability to work independently with minimum supervision. Must be detail oriented, comfortable working with UT policies, and with meeting deadlines.  Proficient skill in Microsoft Office Suite, specifically with Microsoft Word and Excel.  Demonstrated ability to work cooperatively with representatives from all levels of staff, faculty, students, and external stockholders in person, over the phone, and in writing.   Must work well with other staff and be a team player.   UT experience preferred.  Intermediate Excel skills to include pivot tables, formulas and graphs to include trend lines. Experience with Share Point, Visio, Qualtrics and website maintenance.

Education

A high school diploma and four years of relevant experience, or an equivalent combination of education, training, and experience.
