Administrative Associate II- Mathematics

The Mathematics Department at the University of Tennessee, Knoxville invites applications for a regular, full-time Administrative Associate II (non-exempt staff position).  The position serves as the administrative assistant to the department’s Undergraduate Associate Head and Math Honors Director to facilitate the department’s undergraduate educational mission. The position also assists the department’s Lower Division Chair as needed, including setting up meetings and reserving rooms. The person in this position communicates with students, assists in coordination of advising and registration functions, and otherwise implements departmental practices and UT policies concerning undergraduate education. The position coordinates entertainment events for undergraduate math students; contributes to the routine operation of the department; serves as liaison to various campus departments; and collaborates with other departments and advising centers as needed.  Below is a summary of the primary functions/responsibilities of the position:

● Assist the Undergraduate Associate Head on a daily routines

● Assist the Math Honors Director, Math Camp Director, and Lower Division Chair

● Manage daily routine activities including but not limited to working with the scheduling Google

    spreadsheet, TNVoice downloads, daily planning meetings, common exam planning and scheduling.

● Coordinate with the Registrar’s Office and Advising Services regarding class registration and overrides

● Manage waitlists and run reports in Argos and adding sections as needed

● Assist students with registration complications

● Assist advisors across campus with student registration

● Managing substitute requests

● Facilitate book requests from instructors and place orders with the bookstore for classes each

   semester 

● Manage the math major/minor listserv

● Assist with departmental annual events

● Manage clerical work order requests

● Reconcile procurement card purchases

● Back-up for creating deposit receipts



Qualifications
Minimum Qualifications:

Education and Experience:

High School diploma with three years administrative experience or Bachelor’ Degree and 1 year administrative experience

Skills:  Active listening, problem solving, organization and time management.  Ability and willingness to attain preferred knowledge and skills.  Knowledge of Google applications

Preferred Qualification:

Administrative experience in Higher Ed.
