The Ann and H.J. Smead Department of Aerospace Engineering Sciences (AES) encourages applications for a Graduate Program Manager. This leadership position coordinates and administers the graduate program in and interacts with students, faculty, and staff, the College of Engineering and Applied Sciences, the Graduate School, the Admissions Office, and other University units on matters pertaining to the graduate program in the Department. Experienced career professionals in this position maintain a regular student caseload but supply an expanded role by providing guidance to the department's graduate program advisors (GPA), providing leadership in developing programmatic initiatives and performing elements of service to the college and/or campus graduate advising community. This position manages AES graduate students and is responsible for proactive outreach and communication to these students. The position informs and advises students of graduate achievements and tracks their progress towards fulfilling them; advises students about the nature and content of AES curricula; helps prepare students to take advantage of fellowship, professional development, and community-building opportunities; informs students and faculty of how to navigate systems, academic processes, and policies at CU Boulder; encourages students to become contributing members of the CU community; assists in the recruiting, admitting and onboarding of new graduate students through the annual admissions cycle; develops and executes marketing and recruiting strategies in collaboration with their unit’s graduate committee, and prepares students to become future leaders in their field.

Students work extensively on hands-on experiments in the Integrated Teaching and Learning Laboratory and design projects alongside specialist faculty in the department's world-class research centers. We are home to 42-tenure track, research, and instructional faculty, over 200 graduate students and 400 undergraduates. Our vibrant community of engineers and scientists tackle challenges in aerospace technology and science. What Your Key Responsibilities Will Be
  • Implement the spring and fall graduate admissions review process and tracks and evaluates applications received.
  • Execute admissions decisions from the Graduate Committee and/or the Associate Chair for Graduate Studies.
  • Provide recommendations for streamlining process improvements and innovative admissions programs to the Associate Chair for Graduate Studies.
  • Serve as the main point of contact for all applicants to the graduate program and guide applicants through the entire application process. Advise prospective graduate students about departmental offerings and the requirements for admittance into the department’s graduate programs. Connect applicants to relevant college and campus resources/programs as well as relevant faculty advisors in AES.
  • Oversee the coordination of annual graduate student recruiting programs. Informs the Graduate Committee about individuals from underrepresented populations in the applicant pool.
  • Assist in advising applicants regarding academic prerequisite requirements and options for completing them; consults with faculty advisors to clarify department, college, and campus policies and processes.
  • Recommend and develop improvements to the application process to eliminate barriers for prospective students in coordination with the Associate Chair for Graduate Studies.
  • Assist in developing new target markets and develops strategies to increase enrollment with a specific focus on recruiting individuals from underrepresented populations.
  • Assist with a measured approach to create and propose annual recruitment strategies and budget to the Associate Chair for Graduate Studies and Graduate Committee; leads the execution of this strategy with the Graduate Committee.
  • Assist with the compilation of data from the previous year's applications and admissions and makes recommendations to the Associate Chair for Graduate Studies for changes in the graduate application review process to ensure that top applicants are recruited.
  • Assist the AES Content and Communications Specialist to develop fresh, ambitious, and purposeful graduate recruitment materials and materials for current graduate students when appropriate.
  • Coordinate with College and University marketing and communication units to develop and implement a marketing strategy to attract new students to the AES department including but not limited to the department website.
  • When appropriate, supports the AES Content and Communications Specialist to ensure the information on the department’s graduate program website and recruitment materials are accurate, compelling, and up-to-date.

Graduate Student Advising and Community Building
  • Design and coordinate student-focused events, with the help of the department graduate advisors and event coordinator, to promote a sense of community and increase retention rates among current graduate students.
  • Lead efforts to improve and sustain a positive climate among the graduate student population. Design and determine the process for graduate student orientation, working with faculty members, staff, lead TAs, and the College.
  • Serve as liaison with the CEAS Graduate Education Council, sharing departmental concerns and communicating information and issues back to the department, as needed. Serve as liaison with the Graduate School on all aspects pertaining to the department's graduate students.
  • Stay current about changing curricula, rules, and policies at the department/program, college, and university levels and how to apply them consistently to different circumstances.
  • Lead internal graduate student communication efforts including, but not limited to, funding opportunities, professional development opportunities, and department/college/university events.
  • Collaborate with other GPAs on standard methodologies and find opportunities for collaboration.
  • Advance critical student issues/concerns to faculty and/or college and campus resources.
  • When appropriate, supports the department Graduate Program Advisors.
  • Manage the graduate program budget and work with the Associate Chair for Graduate Studies for overall graduate program budget management.

Supervision
  • Supervise the department Graduate Program Advisors, including performance management, workload assignments, professional development, and other supervisory responsibilities.
  • Provide training and onboarding support for the department GPAs. Hold regular meetings and interacts with GPA, as needed.
  • Foster professional growth so that each Graduate Program Advisor is equipped to approach the challenges of the positions and to contribute to the overall success of the department.
  • Supervise the performance of one to three graduate student assistants, and a lead GA to support graduate student community-building initiatives.
  • Interview, hire, and supports the onboarding of graduate student assistants and graduate program advisors.
  • Hold regular meetings and interacts with graduate student assistants.

Other
  • Keep up to date on trends in higher education with respect to graduate student education, admissions requirements and application review, administrative improvements, and graduate student wellness.
  • Participate in professional development activities.
  • Recommend and implements process improvements to increase department efficiency. When appropriate, supports the Curriculum Coordinator and Graduate Program Advisors with course registration, graduate paperwork and other issues as needed.
  • Serve as a backup for the GPAs.
  • Other graduate-student support duties as assigned.

  • Knowledge of trends within the field of Higher Education with respect to graduate study.
What We Would Like You To Have
  • Master’s degree from an accredited institution in a field such as Education, Administrative, Business, Higher Ed or related field.
  • Two years of professional-level experience as an academic advisor for graduate students in STEM fields at a college or university setting.
  • Two years experience with admissions and recruiting cycles and processes.
  • Familiarity with Graduate Student Admissions and Recruiting cycles and processes.
  • Experience working with faculty.
  • Familiarity with University of Colorado's student information systems.
  • Experience with software that handles on-line applications and CRM for graduate student recruiting and admissions (Slate).
  • Established skills and experience using technologies that support academic advising standard methodologies.
