Departmental Overview

The Computer Science Division of the Department of Electrical Engineering and Computer Sciences is larger than many departments; with around 100 active faculty members, around 200 visiting faculty members, postdoctoral researchers and visiting scholars, about 700 graduate students and about 2400 undergraduate majors in two colleges (Letters and Science and Engineering). The Front Desk Coordinator is the first point of contact for our students, faculty, staff and visitors. This position is responsible for providing information in response to general inquiries and for referring persons to other resources. This position is important in establishing the tone of the Division and should be cordial, knowledgeable, responsive, and efficient.

This position reports directly to the Soda Hall Building Manager, and works closely with the Instructional Support Group Manager and other Unit Managers. The incumbent performs a wide range of tasks as dictated by variable demands and changing conditions. Incumbent also exercises independent judgment in the performance of job duties, but must always act within policy parameters. Some issues initiated by students may require consultation.



Responsibilities

65% Front Desk and Keycard Coordination:

With minimal supervision, act as first line contact for a fast-paced and busy office; answer telephones; screen requests for information; refer callers, students, and visitors to appropriate person or source of information; provide general information, make independent decisions on actions to be taken; coordinate parking requests for guests in Soda Hall; distribute incoming mail; accept and submit requests for building maintenance for both Soda and Cory Halls to the proper campus offices, and report building emergencies to proper authorities.

Distribute temporary metal keys for Soda and Cory to over 1200 facilities users each semester. Coordinate and maintain the ACG database for metal keys, graduate desk assignments, and facility requests to insure occupants are updated on service. Independently reconcile inventory for all metal keys, and provide administrative reports, orders new keys when needed. As appropriate and needed, issue refunds upon the return of key with deposits collected prior to recent elimination of key deposit requirement.

Grants and revokes temporary keycard clearances in Cory Hall and Soda Hall for all of the EECS constituents, works with UCPD and the Instructional Support Group Manager for weekly/semester based uploads and clearances.

25% Instructional Administrative Support:

Independently maintain lending library of approximately 500 textbooks for CS instructors and teaching assistants. Order CS textbooks according to guaranteed-book order deadlines. Responsible for contacting CS faculty and follow through to assure that texts are received in a timely manner. Maintain copies of textbook orders to resolve discrepancies or difficulties pertaining to orders. Track orders; follow up on book deliveries/special orders. Maintain original final exams for 13 months. Distribute dry erase markers to TAs. Lends copy and scan cards to TAs. Obtain FERPA certification. Serve as a primary contact for Soda Hall conference/meeting room reservations Responsible for coordinating all aspects of ordering/distributing/returning of CS faculty regalia for commencement activities.

10% General Administrative Support:

Act as primary contact in maintenance of office equipment (e.g. copiers, Soda Hall public printers). Places orders for Building Managers (Cory and Soda) as needed via BearBuy and ERSO Intranet. Back-up for Soda Room requests. Provide assistance for USPS mail, UPS and other special handling. Update mailbox assignments. Orders office supplies for EECS Staff in Soda Hall. Oversees the Lost and Found. Provide other administrative support to the Facilities group as assigned.

**This position requires a commitment to full-time (8 am - 5 pm, M-F) on-site/in-person work. Unfortunately, there is very little flexibility in these terms, as this position requires providing essential in-person services and support to the department every day.





Required Qualifications
  • Demonstrated ability to handle a fast-paced student/faculty services environment and the ability to manage a multi-line phone system.
  • Ability to perform a variety of moderately complex tasks in an efficient manner.
  • After initial training period, candidate must possess the ability to work independently with little need for written instructions or reminders.
  • Computer proficiency required to use Excel, Word, online databases, and other programs as needed.
  • Demonstrated skills are required in the areas of: customer service, organization, accuracy, and attention to detail, exercising good judgment within policy parameters, working independently, adapting to a continually changing environment, and maintaining respectful relationships with diverse individuals and groups of employees, students, faculty, and others.
  • Proficiency with spoken and written English. Demonstrated reliability including a record of punctuality and excellent attendance are required.
