Administrative Specialist II - Ips Program Development & Support

The University of Tennessee Institute for Public Service (IPS) invites nominations and applications for the position of Administrative Specialist II to work in the IPS office, located in Knoxville, TN.   This position is located off campus.   This position provides support for the IPS administrative offices, serves as a receptionist, and provides administrative assistance to an Assistant Vice President, the Director of Naifeh Center for Effective Leadership, and the Budget Director.  The position provides general assistance for inquiries for the office, receives and distributes mail, orders and tracks mail office supplies, and reports maintenance needs of general office equipment.  The specialist assists with time entry for a limited number of interns and employees and entry of travel logistics and reimbursements.  This position is also responsible for entering and processing invoices, procurement card carrier and data entry for the Institute’s budget office.

Required Qualifications:

Education & Experience:   
This position requires a minimum of two years of college or equivalent with courses in office administration, computing, budgeting, word processing, and other administrative skills.  A bachelor’s degree is preferred.

The job skills include:  excellent communication skills, including listening, written and verbal; ability to manage multiple projects; ability to deal with people at all levels; proficient computing skills including Microsoft office (word, excel, power point); ability to learn other computing programs including ANDI, IRIS, Training Partners, and Zoom; ask for clarification and help when needed and work in a team-oriented environment; able to work with both internal and external customers; ability to negotiate deadlines and prioritize tasks, ability to work independently with little direction and must be self-motivated.  Bookkeeping and SAP accounting system experience preferred.
