Job Description

Recruitment & Hiring - 35%

  • Ensures that approved recruitments are accurately posted on the Careers at UF website
  • Orders criminal background checks and education and experience verifications as needed
  • Ensures all search committee members have an active Search Committee Tutorial training on file for faculty recruitments and advises search committee members directly so that training can be completed
  • Ensures the applicants are dispensed appropriately on the Careers at UF website and that the recruitment is closed out electronically once position is filled
  • Completes the Faculty Compliance Report upon completion of faculty recruitments
  • Processes faculty, TEAMS, Pre/Post-Docs, GA, Fellowships and OPS (including OPS faculty), federal work study, and courtesy appointments in PeopleSoft
  • Advises Director and Center’s personnel on employment laws (at federal and state levels), university regulations, and personnel policies and procedures
  • Advises management on Employee Relations and FMLA procedures
  • Completes data entry for all hires, communicating accurate and timely information to the new hire, ensuring that the appropriate hire paperwork has been completed and that the required trainings have been taken
  • Creates personnel files for all new hires
  • Facilitates new hire processes including submitting Gator1 card requests, and notifying the Associate Director for Administration and the Center’s Admin Support Assistant I of pending hire so that office assignments can be made, room keys distributed, office equipment provided, IT contacted, etc.

HR-Related Transactions – 30%

  • Coordinates personnel/payroll processes for faculty, staff, visiting scholars, and student assistant appointments
  • Initiates and terminates appointments
  • Maintains Center personnel files
  • Back up approver for payroll
  • Completes affiliate faculty appointments
  • Requests and/or assists with off-cycle checks submission
  • Ensures accuracy of bi-weekly pay lists; calculates and processes retros; and processes lump sum payments, honoraria for non-resident aliens (NRAs), additional pay, leave of absence requests, leave cash-outs, terminations, FTE changes, SPIs, and position description updates
  • Ensures that supervisors are informed of all personnel-related procedures and deadlines such as annual evaluations and termination checklists
  • Assists Director and OPT Department Administrator with tenure and promotion process
  • Coordinates faculty Annual Activity Report (AAR) submissions and pre-populates pertinent faculty assignment information with information from PeopleSoft
  • Coordinates Effort Tracking Reports and FARs, following-up with faculty to ensure timely submissions; Updates Director on submission progress

Budgetary Responsibilities – 15%

  • Distributes salaries to appropriate funding source for budget preparation
  • Ensures accuracy of FTE and fund distributions
  • Prepares and updates internal salary savings spreadsheet
  • Process funds transfers from/to State account
  • Submits Space Allocation Report and coordinates with the Accounting Coordinator to complete

Processes paperwork for scholars hosted by the Center – 5%

These visitors can include professors, research scholars, post-docs, or other invited scholars. The incumbent duties include, but are not limited to:

  • Assisting with visa documents and working with UFIC for processing J1 documents
  • Obtaining a Gator1 ID
  • Advising the visitor of the process to obtain a Social Security card if needed
  • Securing UF library and other University facilities privileges

Compliance and Tracking – 5%

  • Ensures all necessary work authorization documentation is processed and current for all current foreign national employees and incoming new hires
  • Monitors required compliance trainings (Sexual Harassment Prevention, etc.) and payroll reconciliation best practices to ensure that all employees and payroll procedures remain current per University regulations
  • Keeps Director and Associate Director for Administration apprised of Center compliance

General Duties – 5%

  • Serves as Center’s Designated Identification Management Coordinator (IMC)
  • Serves as Department Security Administrator (DSA)
  • Provides back-up support for Academic Assistant III with student matters when absent
  • Attends front desk when Admin Support Assistant I is absent

Other duties as assigned – 5%

Expected Salary:

$21.55 - $24.90 per hour

Minimum Requirements:

Bachelor's degree in an appropriate area; or an equivalent combination of education and experience.

Preferred Qualifications:

Spanish and/or Portuguese speaker
Experience with UF administrative systems, especially with human resources tasks
SHRM Certified Professional (SHRM-CP), SHRM Senior Certified Professional (SHRM-SCP), HRCI Professional of Human Resources (PHR), or HRCI Senior Professional of Human Resources (SPHR)
