Position Summary:

Reporting the Associate Director of Student Support Services, this hybrid Student Support Counselor/Coordinator of Student Services is integral to the Student Support Services department. This position maintains collaborative, working relationships with campus leadership, faculty, and other student facing departments, to support and coordinate programs, services, and activities consistent with the university’s mission, strategic goals, and regulatory requirements. This role encompasses primary oversight of the department’s auxiliary services, including ADA accommodations, student life & events, and international student services. Student contact is extensive and substantive as is maintaining accurate records in order to support students’ through their programs. Team members work collaboratively within the office and with many other campus wide constituent groups. Staff members are expected to exercise a high degree of responsibility and independent judgment, and to work hours consistent with the campus student populations’ need for access to services, which may require evening and weekend hours.

About the Department:

The Student Support Services team is the single-point of access for students and provides student-centered support services (ADA accommodations, international student services, academic supports, student life & events, etc.). The department administers a high-level of service to ensure student persistence and success.

Student Support Services team members work collaboratively within the office and with many other campus-wide and university-wide constituent groups. Team members are expected to exercise a high degree of responsibility and independent judgment, and to work hours consistent with the campus student populations’ need for access to services. Some evening and weekend hours are required to accommodate student needs.

Major Responsibilities:

Student Support Services - General

  • Maintain a student load, serving as their primary contact in support of their progression towards degree completion.

  • Work with and support new and continuing students at various stages of their education.

  • Administration of advising services including registration, evaluation of program requirements, incomplete grades, student class activity, Satisfactory Academic Progress, and overall degree progress.

  • Call/meet with each student throughout the term to ensure they are successfully completing coursework and to provide support.

  • Respond to calls and e-mails from incoming or current students on a daily basis by providing guidance regarding course work, policies, and support.

  • Ensure student’s academic account/record are accurate and up-to-date by clear and timely processing of important academic forms (e.g. Add/Drop, Withdrawal, Leave of Absence, etc.).

  • Advising at-risk students through work/life balance, time management, other circumstances to ensure successful completion of the course and program.

  • Collaborate with various student facing departments such as Academics, Financial Aid, Admissions, and Student Accounts to ensure the success of the student.

  • Work with Office of the Registrar to ensure that incoming and current students receive timely information and guidance regarding institutional policies, course registration, program completion, etc.

  • Oversight of ADA Accommodations processes and implementation.

  • Adherence to set internal, federal, DOE, and affiliate policies and procedures, integrity and ethical standards.

  • Perform other duties as assigned.

Student Life & Events

  • Plan, manage and direct all orientation week activities and create all orientation components, including scheduling, collaborating with academic departments on presentations, coordinating check-in, leading student and staff volunteers.

  • Plan, manage and direct all commencement activities, including recruiting volunteer teams, communicating with students and faculty, working with venues and vendors, and ordering regalia.

  • Oversee and support Student Council and other student groups.

  • Assists students with programming, budgeting, planning, scheduling, implementation and evaluation of events/programs.

  • Responsible for planning, developing and implementing a comprehensive campus wide Student Activities program which may include social events, colloquia, trainings, speakers, and advising student programming groups on the same.

  • Provide opportunities for all students to participate in co-curricular activities, governance and purposeful use of time.

ADA Accommodations

  • Review/process all accommodations requests and supply requesting students with appropriate accommodations.

  • Meet with students receiving accommodations to ensure proper support is being implemented.

  • Collaborate with faculty and academic department leaders to ensure students receiving accommodations are set up for academic success.

International Student Services

  • Serve as the campus’ Designated School Official and the primary support for students studying on F-1 visas.

  • Advise students on F-1 visas in order to ensure they comply with all SEVIS requirements.

  • Maintain accurate records on SEVIS.

  • Engage in programming targeted to support international student populations.

Essential Knowledge, Skills, and Abilities:

  • Flexibility in work schedule to best connect with students during events (including some evenings and weekends)

  • Knowledge of professional student affairs systems and retention strategies

  • Experience in planning events such as new student orientation

  • Excellent public speaking and writing skills

  • Excellent PC skills (Word, Excel, Power Point) and other clerical skills (phone skills, typing, filing)

  • Skills to establish and maintain effective relationships

  • Organizational and time management skills

  • Ability to collaborate and communicate with all students regardless of educational level as well as all employees regardless of position/title.

Position Qualifications:

  • 2-5 years of event planning, student activities, or similar

  • Bachelor's degree required, Master’s degree preferred

  • Experience within student facing positions and/or Higher Education

  • Excellent PC skills (Word, Excel, Power Point) and other clerical skills (phone skills, typing, filing)

  • Skills to establish and maintain effective relationships

  • Excellent verbal and written communication skills

  • Organizational and time management skills

  • Ability to collaborate and communicate with all students regardless of educational level as well as all employees regardless of position, title, or location

  • Excellent team work

  • Ability and willingness to work evenings and weekends as required by supervisor and student need
