Kansas Health Science Center is currently seeking an Admissions Visit and Events Coordinator to join our team.

The Admissions Visit and Events Coordinator serves in a critical role focused on the design and implementation of the Office of Admissions applicant visit and interview experiences, in addition to coordinating all Admissions related events. The applicant interview visit is typically the one time a medical school has to impress upon students who they are and what they value. This position is charged with ensuring the medical school puts its very best foot forward. The visit and events coordinator is an important member of our Office of Admissions team and assists the team with a wide variety of additional responsibilities. The Admissions Visit and Events Coordinator will report to the Director of Admissions.

Responsibilities include, but are not limited to:

  • Work with the Director of Admissions to design the visit experience and other major event experiences.
  • Collaborate with facilities, security, academic affairs, and outside catering entities to ensure all details for the event are taken care of.
  • Work directly with faculty and staff at KansasCOM to ensure that the institution has the specific number of interviewers needed for each interview day.
  • Create and implement the communication plan for communicating with all applicants about their upcoming visit experience.
  • Serve as the Office of Admissions lead on event days, ensuring the office staff know exactly what roles they will play and when and where they need to be.
  • Effectively oversees the lifecycle of the student interview process and ensures that the assessment of applicants is provided to the Admissions Committee.
  • Plays an important role in scheduling of operations, including meeting goals, meeting timetables, assuring deadlines and general obligations are met, monitoring activity, checking progress, making appropriate adjustments.
  • Facilitates the transfer of information to KHSC-KansasCOM departments including keeping the Director of Admissions apprised of goals and progress towards those goals.
  • Plays important roles in key committees affiliated with the Office of Admissions, including the Admissions Committee.
  • Helps to facilitate the application review process, working directly with the Application Coordinator.
  • Assists in responding to prospective student inquiries and needs including answering questions, monitoring distribution of forms, and providing information.
  • Embodies a team focused spirit and a commitment to collaboration.

Knowledge, Skills and Abilities:

  • The candidate must possess excellent interpersonal skills and verbal communication skills required to communicate key KHSC-KansasCOM messages to prospective students and parents.
  • Interested candidates should be able to balance multiple projects and priorities, while managing deadlines, with a focus on positive results.
  • Analytical abilities required to assess situations and determine the best method of dealing with such issues based on KHSC policies.

Position Requirements

  • Bachelor’s degree required.
  • 3-5 years of experience working in a professional environment. Preference given to candidates with events related experience.
  • Understanding of processes and how to lead on process specific projects.
  • Ability to work a flexible schedule including evenings and weekends.
  • Ability to travel to medical school related recruitment fairs and national conferences.

Working Conditions:

Normal office environment.
