The Office of Grants and Contracts at the University of Virginia School of Medicine seeks a Grants and Contracts Administrator or Senior Grants and Contracts Administrator, (commensurate with education and experience). The Grants and Contracts Administrator will perform pre-award, post-award or a combination of grants and contracts job duties in response to specific proposal guidelines or terms and conditions. The successful candidate will facilitate the proposal submission and award administration process. The incumbent will understand sponsor requirements and interpret guidelines for the Principal Investigator. In addition, the successful candidate will be responsible for the processing of proposal or award amendments, communicating with sponsor as needed, and serve as the primary contact for internal and external subcontracts and sponsors.

Specific job responsibilities include:

  • Manage grant submission process, fill out forms, prepare letters, upload proposal documents into sponsor portals, prepare financial reports per sponsor guidelines, and mail proposal hardcopies.
  • Perform monthly account reconciliations, and process vendor invoices, purchase orders, and cost transfers for multiple awards. Prepare and revise grant budgets.
  • Review proposals for conformity with University, State, and Sponsor guidelines.
  • Resolve problems through contact with University administrators or faculty and recommend appropriate changes.
  • Mentor new administrators and provide guidance.
  • Provide technical and administrative assistance to faculty and administrators regarding sponsor regulations.
  • Conduct direct negotiations on behalf of the University with external sponsoring agencies.
  • Maintain complete and accurate file information.
  • In addition to the above job responsibilities, other duties may be assigned.

MINIMUM REQUIREMENTS:

Grants and Contracts Administrator Requirements:

Education: Bachelor's degree

Experience: At least three years of grant and contract experience. Four additional years of experience may be accepted in lieu of degree.

Licensure: Certified Research Administrator (CRA) certification is typically held.

Senior Grants and Contracts Administrator Requirements:

Education: Bachelor's degree

Experience: At least five years of grant and contract experience. Four additional years of experience may be accepted in lieu of degree.

Licensure: Certified Research Administrator (CRA) certification is typically held.

This is a restricted position; continuation is dependent on funding and satisfactory performance. The successful candidate will pass a criminal background check.
