Job Description Summary

Helping to fulfill one of the University’s core missions, Penn Global includes several departments that serve to advance the University’s global engagement. Within Penn Global, the Office of Finance and Administration functions as the business office for each of these departments (including Penn Abroad, International Student & Scholar Services, the Office of Global Initiatives, & Perry World House). The Financial & Administrative Coordinator will play a key role in working to meet all the business and administrative needs for each department.

Job Description

Reporting to the Director of the Office of Finance & Administration within Penn Global, the F&A Coordinator is responsible for performing key financial and administrative duties to ensure efficient and timely daily operational needs are met. The individual will liaise directly with each of the individual departments and be responsible for the processing of transactions related to all financial and administrative activity. Communicating effectively and coordinating with departments outside of Penn Global, such as Purchasing, Travel, Card Administrators, and Tax is sometimes required. Position responsibilities and duties are as follows:

  • Manage all Payroll and employee records in Workday, including on-boarding of new employees and establishing system access.

  • Coordinate with departments to fulfill Purchasing needs through various Penn systems- including BEN financials, accounts payable, Concur, and the University’s Card Programs- ensuring compliance and retaining documentation as needed.

  • Provide guidance of Penn policy and process with staff and external stakeholders/vendors.

  • Process & reconcile revenue related to visa processing fees.

  • Serve administrative needs across departments- including administering department wide business accounts such as World Travel approvals, Verizon Wireless, Ricoh, Office Depot, Express Ship, etc.

  • Perform additional duties as assigned.


A Bachelor’s degree is required, along with at least 2 years of related experience. Familiarity with Penn systems and policy- including BEN Financials/Penn Marketplace, SAP, Concur, Business Objects, and Workday are preferred. Candidate should have strong financial, organizational, and time management skills, as well as a proficiency with Excel.
