Stanford University is seeking a Faculty Affairs Administrator to manage the faculty affairs function for the Department of Radiation Oncology. The successful candidate will provide expert guidance on all aspects of faculty affairs activities including onboarding, recruitment, faculty and academic staff appointments, reappointments, promotions and the search process. The successful candidate will be highly organized, resourceful, extremely detailed oriented, able to multi-task and meet deadlines. S/he will be expected to demonstrate strong business judgement, professional etiquette and strong written communication skills. In addition to having a positive attitude and professional demeanor s/he must have extraordinary communication skills that allow her / him to interact with a diverse group of people.
- Provide necessary operational support to search/review committees and to mentoring and/or annual counseling of faculty, and make recommendations for process improvement.
- Manage review, promotion, and search processes, including marketing, recruiting, preparing committee reports. Create agenda, prepare and edit documents and forms for faculty review including recommendations.
- Review submitted appointment and promotion (A&P) materials from a critical perspective, and advise dean, department chair, or faculty lead as appropriate. Identify problematic information in letters and advise on how to resolve the problem. May provide first level approval for appointments and reappointments.
- Prepare offer letters, as needed, for the chair or dean, which may include gathering and synthesizing information from other offices.
- Serve as primary point of contact, as needed, in orienting new faculty to the department, school, and university. Troubleshoot issues as they arise.
- Ensure quality of faculty employment activities. Interpret university and school policy, and guide process for all faculty affairs situations and lines; develop and implement best practices for all faculty affairs activities.
- Establish and manage processes and relevant communications for completion of faculty actions. Document and interpret policies and processes for contributors to the appointment/promotion form (chair, faculty lead, and candidate).
- Ensure compliance with school and university policies. Manage university faculty conflict of interest requirements for the department or school, as needed.
- Manage the administration of joint appointments.
- Provide reporting and analysis for various faculty activities and programs to support strategic planning.

- Prior academic affairs or similar translatable experience at Stanford or another institution.
- Excellent project management skills.

- Adaptable to last minute and frequent changes.
EDUCATION & EXPERIENCE (REQUIRED):
- Bachelor's degree and three years of experience working with administrative processes, or combination of education and relevant experience.

- Ability to track, monitor and adhere to deadlines.
- Ability to learn university systems.
- Experience working with databases and Microsoft Office suite.

- Frequently perform desk-based computer tasks, frequently sitting, stand/walk, grasp lightly/fine manipulation.
- Occasionally twist/bend/stoop/squat; reach/work above shoulders; grasp forcefully; use a telephone.
- Rarely sort/file paperwork or parts, kneel/crawl, twist/bend/stoop/squat, lift/carry/push/pull objects that weigh up to 10 pounds.
