Job Summary/Basic Function: :

The Director of Business Operations is responsible for the business operations of Lee College’s Center for Workforce & Community Development (CWCD). The key areas of responsibilities are operations management, student success and retention, fiscal and enrollment reporting and analysis, troubleshooting, and team management. The Director serves as the CWCD’s liaison with Lee College’s Marketing and Public Affairs (MPA) team to collaborate on strategy for the CWCD programming and events.

The Director serves as a member of the CWCD Leadership Team, responsible for the strategic direction, oversight, and the accountability of the CWCD. This position reports directly to the Executive Director of Workforce Community Development.

Duties and responsibilities include, but are not limited to:

  • Provide leadership, strategic direction, oversight, and accountability for the operational effectiveness and efficiency to achieve the department’s mission and goals.
  • Develop and monitor departmental budgets.
  • Supervise, mentor, and coach assigned staff. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems; and developing individual professional development plans.
  • Develop and maintain processes for organization of files, records, and systems documentation; process records for off-site storage and dispose of files according to established document-retention schedules.
  • Develop and maintain evergreen centralized procedures manual for the Center of Workforce & Community Development.
  • Provide oversight of CWCD business and financial transactions and reporting in alignment with the College’s Accounts Payable and Accounts Receivable departments ensuring Lee College policies and procedures are followed.
  • Proactively seek ways to improve existing organizational processes that impact organizational performance and customer satisfaction.
  • Generate enrollment and financial reports that will be used to measure the Center’s performance. Analyze data collected.
  • Implement and communicate safety systems to ensure all work areas are safe.
  • Oversee internal compliance audits in accordance with the department’s annual plan of work.

CWCD MPA Liaison Responsibilities:

  • Coordinate and inform the development and production of marketing and advertising materials to promote and support the CWCD products and services collaborate with CWCD Leadership Team and MPA to assemble information for the CWCD’s class schedule for publication.
  • Provide editorial leadership for the CWCD through adherence to standards and processes for content creation and distribution, ensuring all content is on-brand and consistent with Lee College’s media protocols and is coordinated through Lee College’s MPA department.
  • Monitor student enrollment; work collaboratively to develop marketing, recruitment, and retention strategies.
  • Coordinate participation and execution of activities for community engagement and remote registration events both on and off campus.

CWCD Registrar Responsibilities:

  • Process grade reports, change enrollment status, grades, enrollment verification, transcripts, and requests for student information.
  • Evaluate and certify all student certificate/transcript requests and student eligibility for certifications.
  • Collaborate with IT department and Registrar office to develop and assure accuracy of quarterly Coordinating Board State Report and serve on the SACSCOC Committee to assure applicable CWCD programs are compliant.
  • Confirm program requirements/prerequisites are met by students.
  • Maintain the integrity and security of all student records and ensure compliance with applicable laws, federal regulations, and college policies, as well as FERPA regulations.
  • Interpret and explain policies and procedures, including student disputes with registration and records.

CWCD Financial Assistance Responsibilities:

  • Manage CWCD financial assistance options through collaboration with Lee College’s Institutional Advancement and Financial Aid departments.
  • Serve as the technical lead for the Center to ensure CWCD software interfaces internally with other college departments, including Financial Aid for reporting purposes.
  • Manage financial assistance opportunities, oversee application and award process, and make recommendations for adjustments as needed.

Additional duties and responsibilities may include, but are not limited to:

  • Attend professional development opportunities when appropriate.
  • Stay abreast of industry changes and innovation.
  • Serve on campus committees as appropriate.
  • Perform other duties as assigned.

Minimum Qualifications: :

  • Internal candidates only – Must be a current full-time or part-time employees of Lee College
  • Bachelor’s (or higher) degree
  • Three (3) years of related work experience
  • One (1) year of supervisory experience
  • Able to analyze problems and propose solutions
  • Thorough knowledge of FERPA
  • Able to work collaboratively with other areas of the college
  • Excellent interpersonal, analytical, decision making, and problem-solving skills
  • Detail oriented and able to multitask and meet critical deadlines
  • Demonstrated knowledge of basic bookkeeping principles
  • Excellent communication skills, both oral and written
  • Manage, organize, and communicate information of varying technical complexity
  • Strong project management skills and the ability to manage complex projects
  • Must be available to work evenings and weekends as needed
