Overall Position Competency::


Description of primary duties and responsibilities::

General Office Duties
· Answer incoming calls, receive/forward messages, return calls to customers as required
· Greet/Direct walk-in customers
· Scanning/Copying/Sending e-mails as required
· General Office Filing as required
· Mail Distribution
· Maintain office supplies inventory
· Project file set-up and maintenance
· Other administrative tasks necessary to support Facilities Management

Fleet Duties
· Schedule and maintain vehicle reservations
· Apply vehicle chargebacks where applicable
· Assist with Motor Fleet reporting

Budget Administration
· Prepare Operations & Maintenance (O&M) and Planning & Construction (P&C) invoices for approval
· Maintain invoice log for all O&M + P&C invoices
· Enter O&M + P&C budget revisions as necessary
· Enter purchase requisitions for O&M supervisors and P&C as necessary
· Review invoices that are shared with other departments and initiate appropriate chargeback to maximize cost sharing opportunities

Specialized Maintenance & Operations Support
· Preparing and sending Requests for Quote (RFQ’s) to specific lists of vendors
· Filtering and answering questions from vendors related to RFQ’s
· Receiving, sorting responses to RFQ’s and preparing bid tabulations

Human Resources Support
· Entry into People Admin
· Coordinating Interview Committees- Scheduling Interviews
· Coordinating Background Checks
· Assembling Hiring Packages
· Assist With Onboarding

Minimum Education and Experience Requirements::

Graduation from high school; or an equivalent combination of education and experience.
