  • Position Summary :

    POSITION SUMMARY

    Provides supervision of the day to day operations of the Financial Aid/Veterans Office. Assist the Director with administering all federal, state, institutional and private financial assistance programs. Function as a back up to the Director in his/her absence.
    ESSENTIAL JOB DUTIES ANDKEY RESPONSIBILITIES
    1.Assist in coordinating the delivery of student financial aid and the maintenance of student financial aid records.
    2.Perform the selection, training, direct supervision, scheduling and evaluation of, all full-time financial aid advisors. Oversee the payroll for the financial aid coordinator and advisors.
    3.Develop and provide training for Financial Aid/Veterans staff and other college personnel on financial aid processes, web-based systems, and topics concerning federal and state compliance.
    4.Assists in monitoring all financial aid processes for awarding of Federal and State programs.
    5.Serve as member of the Financial Aid/Veterans Senior Staff in order to design and implement financial aid goals, policies and procedures.
    6.Assure accuracy of completion of the Title IV Refund process by Financial Aid staff.
    7.Oversee process and policies regarding Special Circumstance applications and Dependency Override appeals.
    8.Ensures that the Colleague financial aid module is used effectively and that processes and product enhancements are developed which are technologically up to date.
    9.Maintain Quality Assurance as it pertains to federal and state program compliance through a regular internal audit process.
    10.Works with the Student Accounts and Payments/Financial Services to insure that aid is disbursed and reconciled.
    11.Represents the college as a speaker, presenter, or in similar capacities in high schools, service clubs, community events, and other activities of a similar nature.
    12.Assist Director with the completion of Federal, State, institutional reporting, performance reviews, and audits.
    13.Actively seek out and participate in various on-campus teams, committees, task forces, etc. Participate in achieving departmental and college goals and objectives.
    14.Demonstrate a positive attitude and a team approach toward accomplishing departmental/institutional goals, and cultivate these same characteristics in employees supervised.
    15.Maintain a high level of confidentiality and protect student information in compliance with FERPA and HEA laws.
    16.Assist in developing budgets each year.
    17.Regularly attend and participate in workshops, seminars, and professional conferences.
    18.Perform other duties as assigned.

    Minimum Qualifications:

    MINIMUM QUALIFICATIONS
    1.Bachelor’s Degree.
    2.Five (5) years Financial Aid experience, with knowledge of Department of Education Title IV Programs and regulatory guidelines required
    3.Three (3) years of supervisory and training experience.
    4.Problem solving skills, excellent organizational skills, detail-oriented, a self-starter, and ability to work effectively with a diverse group of students, faculty, staff, public, and other community agencies.
    5.Extensive personal computer skills and knowledge of Microsoft Office Suite.
    6.Excellent presentation, interpersonal, written and verbal communication skills.
    7.Ability to work extended evening and weekend hours at peak times of the year.

    Preferred Qualifications:

    PREFERRED QUALIFICATIONS
    1.Experience with Colleague system, Workday system, and other systems related to the student’s financial aid eligibility process.
    2.Experience in a community college setting

    Physical Demands:

    PHYSICAL DEMANDS
    1.Normal office physical demands.
    2.Ability to travel between campus locations and to and from community events.
    3.Ability to travel in state and nationally.

They also contain information about crime statistics for the three previous years for all JJC campuses, property owned and controlled by JJC District 525 and on public property immediately adjacent to JJC campuses.
