Under general supervision, the position is responsible for monitoring the matriculation status of student athletes to ensure their continued eligibility for participation in intercollegiate athletics. The position is responsible for reporting the eligibility status of student athletes to the California Community College Athletic Association (CCCAA) and advises student athletes on eligibility requirements. The position also supports the Athletic Department with a variety of administrative functions.  

  • Provides information to coaching staff and student athletes about the eligibility requirements and responsibilities needed to participate in intercollegiate athletics. (E) 
  • Ensures that all necessary information is gathered to determine whether student athletes are eligible to participate in intercollegiate athletics. (E)
  • Reviews student records to determine the eligibility of student athletes. (E)
  • Conducts data entry to track and update the eligibility status of student athletes and their matriculation through the institution. (E)
  • Submits eligibility information to the intercollegiate athletic association governing body. (E)
  • Completes verification of attendance and competition for student athletes. (E)
  • Enters the game schedule, game details, referee schedules, and sends out automated alerts. (E)
  • Files competition records for student athletes.
  • Provides direction to ticket takers to organize the collection of ticket sales and the transportation of cash to the District's cashier's office.  
  • Monitors the departmental budget to assist the supervising manager estimate the cost of meals for athletic teams, the cost of travel to various sites, the cost for officials, office supplies, and to reconcile vendor statements with departmental accounts.
  • Submits payments for individuals that provide services for athletic events.
  • Conducts data entry into the time cards of unclassified staff.
  • Participates in the organization of a variety of events such as, but not limited to, staff meetings, special events, and trainings specific to CCCAA eligibility.
  • Perform other related duties as assigned.

  • A High School Diploma, the equivalent, or higher.
  • Three (3) years of experience working with intercollegiate athletics, or a related field such as high school athletics, or professional athletics.

  • Apply knowledge of CCCAA regulations and forms related to student eligibility to provide information to students and staff, maintain records, complete verifications of attendance and verifications of competition; ensures that required information is gathered to make determinations on student athlete eligibility and for student athletes to gain certification with the CCCAA and 4-year institutions.
  • Use degree audit software and apply knowledge of transcripts, GPA, registration, and student educational plans to determine if student athletes have met academic and educational eligibility requirements.
  • Use the CCCAA Eligibility Form 3 System to enter student athlete eligibility information and run reports.
  • Use ERP software to monitor the area budget and submit requisitions for payment
  • Use event reservation software to reserve spaces for staff meetings, special events and trainings.
  • Use time keeping software to enter hours worked for unclassified staff.
  • Use general office software and equipment to develop work schedules, reports, aggregate data, and communicate with District staff and students

  • Ensure effective customer services during all interactions with staff, students, CCCAA personnel and administrators.
  • Recommend procedures and processes related to the athletic certification process.
  • Ensure that all eligibility information is gathered and submitted according to appropriate deadlines.
  • Maintain records for appropriate time limits.
  • Ensure the accuracy of the data that is entered into a variety of databases and that is provided to the CCCAA.
  • Communicate effectively, orally and in writing.
  • Develop and maintain effective working relationships with District staff, students, and CCCAA personnel.

    The position will continuously (5.6 hours - 8 hours) be required to exhibit the ability to communicate with District staff, students, and external stakeholders to provide information. The position will continuously (5.6 hours - 8 hours) exhibit the ability to sit, use of sight and fine manipulation to operate a computer and general office equipment. WORK ENVIRONMENT

    Continuously (5.6 hours - 8 hours) work in an indoor office environment within a moderate temperature and have continuous contact with customers, end users, and the general public.
