Responsibilities Assists the College of Law Registrar's Office with processing, maintaining and coordinating academic records for Law current students and alumni. Assists with coordination of programs and events, and advises students on policies and procedures related to registration and graduation deadlines and procedures. Performs specialized enrollment management functions under supervision of the College of Law Registrar. Conducts statistical research, compiles data and prepares reports as needed for the College of Law Dean's Office, administration and faculty. Oversees digitization of records, Order of the Coif membership, and other special projects.

Student Advising and Programming

Counsels students on policies and procedures related to registration including, but not limited to, drop/add, withdrawals, course load modification, graduation and other related matters. Assists with events and programs hosted by the Registrar's Office, as well as various law school events such as LLM activities and Commencement and Orientations.

Registrar Assistance

Assists with student registration including, but not limited to, registering first year students and students enrolled in clinical programs. Schedules courses, processes grades and performs graduation clearances, to include evaluation of Certificate program completion and honors designation. Evaluates academic records in regards to transfer credit, academic oversight and dismissal, and graduation. Assists with submission of Student Learning Outcomes in university Institutional Effectiveness (IE) portal.

Records & Other Requests

Processes incoming records requests from students and alumni. Responsible for verifying and ensuring preparation of applications for state Boards of Bar Examiners, including Dean's certifications. Compiles a biannual Certificate of Dean spreadsheet for all candidates sitting for the Florida Bar Exam. Coordinates digital archiving of student and alumni records.

Also processes drop/adds, partially ungraded option, course modifications and graduation/certificate checklists.

Addresses questions and/or issues concerning transfer students' credit evaluations.

Directs OPS employee(s) in responding to routine records requests and certifications, ensuring compliance with Family Educational Rights and Privacy Act. Updates records request log and tracks processing status of all requests.

Report Generation

Compiles and analyzes data on student enrollment, registration and course information as needed for reports. Responsible for all correspondence concerning the election of recent graduates to Order of the Coif, a national legal honor society, and producing the transfer memo each semester.

Policy & Procedure Maintenance

Documents and organizes policies and procedures relating to records maintenance at the College of Law. Updates and maintains student and alumni forms central to records requests, enrollment, registration, and graduation. Coordinates tracking procedures for program requirements as well as student outcome data related to SACS and ABA accreditation requirements. Assist the Registrar with other duties as assigned.

Qualifications

Bachelor's degree and one year of related work experience, or a combination of post high school education and experience equal to five years, are required. (Note: related post-high school education and/or experience may substitute at the comparable rate.)

Applicants must be familiar with Microsoft Office applications (Word, Excel, Outlook) or equivalent software, and Adobe Acrobat or similar software. Knowledge of proper office procedures and etiquette, and the ability to use standard office equipment, are essential.

Must have the ability to communicate effectively, both orally in writing; to work independently and prioritize work so that deadlines are met; and to maintain an effective working relationship with co-workers, supervisors, and interdepartmental personnel.

Preferred

A Bachelor's degree is strongly preferred. Advanced Excel and/or database skills are also preferred.

Anticipated Salary Range

Anticipated salary $28,000-$30,000, depending upon education and experience.
