Position Summary

Basic Function

Reporting to the Associate Provost for University Collections and Arts Initiatives this person will manage the fiscal and administrative activities of the collections reporting to the Provost’s Office. The collections include The Broad Art Museum, the MSU Museum, the Science Gallery and the W.J. Beal Botanical Garden and Campus Arboretum. The person in this role will participate in developing the collections’ administrative goals, objectives, policies and procedures; planning, directing and managing the budget process in close collaboration with museum and garden directors; establishing standards, procedures and priorities for data resources, and supervising unit fiscal and HR support staff.

Duties and Responsibilities:

  • Plans, directs and manages budget processes, personnel activities and other administrative functions including exercising responsibility for the management and authorization of expenditures and personnel transactions.
  • Analyzes, negotiates and makes recommendations on the financial aspects of contractual agreements.
  • Serves as a member of senior management of the collections team in order to participate in the development of goals, objectives, policies and procedures.
  • Hires, evaluates and directs the fiscal and HR professional and support staff.
  • Liaison to the Provost Budget and Human Resources Officer.
  • Maintains currency in the field through continuous learning.
  • Unit Specific Education/Experience/Skills

    Knowledge equivalent to that which normally would be acquired by completing a four-year college degree program in Business Administration, Accounting, Management or field related to employing unit; five to eight years of related and progressively more responsible or expansive work experience in financial or accounting practices, developing research projects, funding and grant practices and/or experience in a field related to the area of employment; or an equivalent combination of education and experience.

    Desired Qualifications

    Experience in an academic unit as a fiscal officer; supervisory experience as well as unit/departmental budget experience as a budget/financial manager; experience with personnel management, and supervision of support staff; demonstrated excellence in leadership, communication, critical thinking and analytical skills; ability to interact with varied constituents in a timely, courteous, and professional manner; experience working with diverse populations; ability to handle multiple tasks, details, and prioritize work; familiarity with SAP HR/Payroll, Kuali Financial Systems, and knowledge of the Cognos Business Intelligence/Query Studio environment; experience with Microsoft Office Suite including Outlook, Word, Excel (Access, PowerPoint and Visio a plus); demonstrates a work orientation that includes problem solving, teamwork, process improvement, and adaptability to change; ability to focus on service and continuous learning for self-improvement.
