Job Description POSITION OBJECTIVE
- Manage human resources activities within assigned clinical departments for staff, faculty, and students using discretion and confidentiality. Advise supervisors on pay issues, affirmative action requirements, job classification issues, performance appraisals, employee relations and employee training and development circumstances. Develop and implement procedures to ensure the smooth flow of confidential data. Maintain liaisons with appropriate school and central human resources staff to proactively respond to human resources problems, issues and special requests. Ensure all paperwork for employment, terminations, and leaves of absence are processed correctly and in a timely manner. Working with Office of Immigration and Human Resource Services, manage all visa-related matters. Assist with onboarding for all new staff and faculty. (75%)Approve time for non-exempt employees, students and temporary employees assuring correct speedtypes are charged for time and effort as needed. Work with faculty and/or lab managers to assure all time sheets are completed and approved by monthly deadlines. Work with grant managers to complete salary adjustments as necessary. (10%)
- Working closely with grant managers, complete appointment and payroll forms for graduate assistants and research associates. Complete annual payroll forms for faculty. (5%)Complete effort certifications for faculty and staff biannually. (5%)Assist in the development and implementation of clinical department administrative policies and procedures. Work with the executive director to approve exceptions to policies. Interpret school and university policies and procedures as they relate to HR and ensure compliance by staff. Communicate any changes to policies and procedures to appropriate staff for implementation. (5%)Perform other duties as assigned. Provide basic secretarial tasks as needed. Provide Sparta/pre award support for peak proposal submission deadlines. Cross train with other team members for coverage during absences. (<1%)
- Strong organizational and interpersonal skills required, both oral and written. Speaking clearly and persuasively in positive or negative situations and writing clearly and informatively.Strong interpersonal skills: ability to work and communicate with various individuals from a broad spectrum of disciplines, technical and educational backgrounds within the department, school and university, and with individuals outside the university.Ability to work independently to organize multiple projects simultaneously required.Employee management skills: ability to educate/train staff, delegate and supervise effectively required.Proactive approach to potential problems, excellent problem-solving skills required.Excellent computer skills experience, excellent mathematical skills; ability to use financial spreadsheets, accounting software, PeopleSoft and Oracle financial system applications.Ability to work with sensitive information and maintain confidentiality.High degree of integrity essential as well as willingness to make decisions. Must exhibit sound and accurate judgment.Ability to work under pressure while remaining attentive to detail.Ability to meet consistent attendance. Ability to interact with colleagues, supervisors, and customers face to face.
