Description:

Working as a member of the administrative team under the general direction of the Chair, the Director of Facilities and Operations is responsible for the planning, coordination and oversight of all facilities operations and space management functions on behalf of the Department, and for ensuring compliance with Environmental Health and Safety legislation and requirements as pertains to the building environment. The Director of Facilities and Operations acts as the Department representative on all matters related to departmental space or facilities, and is responsible for overseeing all aspects of the Department’s facilities portfolio, including but not limited to coordinating moves and internal facilities relocations, investigation of problems related to accidents, floods, fire, chemical spills, etc., insurance claims, signage, security, key systems, and all Facilities & Services work conducted within the Department including overseeing capital development and facilities maintenance projects, major installations, renovations and space utilization in all its forms for the Department including labs and classrooms. Working in co-operation with the Faculty’s and Department’s Health & Safety Committees and personnel, the Director of Facilities and Operations is responsible for maintaining internal records of Health and Safety incident reports, facilities inspections follow-up, and for ensuring resolution of identified building problems. Working in co-operation with the the Faculty of Applied Science and Engineering and UofT’s facilities, services and property management personnel, the Director of Facilities and Operations oversees the property management aspects of business operations on behalf of the Department and assists with the fluid daily operation of the Department by ensuring that building operations problems are resolved and making recommendations for remediation where necessary. The Director of Facilities and Operations manages the Departmental IT services, identifying and assessing IT issues and opportunities and implementing systems and process improvements.

Qualifications:

Education:

Community college diploma in Business or Facility Management or acceptable equivalent combination of education and experience. Designations from IFMA or BOMA’s FMA would be an asset.

Experience:

Five (5) years relevant experience, preferably in a University environment. Proven experience with customer service and project management required. Proven organizational ability to handle projects in a fast-paced environment. Proven experience with facilities or property management. Knowledge and experience with Environmental Health & Safety protocols and regulations an asset. A working
knowledge of Environmental Health & Safety guidelines relative to chemical safety and Biological Level 2 environments highly desirable. Experience with on-line systems such as Archibus, RRSLite and Service Now an asset.


Skills:

Ability to communicate well, adapt to new ideas, learn quickly, and exercise high degree of judgment and initiative in decision-making situations while working with a variety of different groups and/or stakeholders; ability to manage projects on time and on budget; ability to assess when to seek the advice of the Chair and/or Business Officer and other relevant staff and academic leaders (e.g. Associate Chairs, Committee Chairs); ability to work with others as required for appropriate information gathering, compiling of data, and completion of tasks


Other:
Excellent knowledge of Office software required. Strong team player. Ability to interact diplomatically and effectively with a wide range of people – researchers, students, administration and industry representatives. The individual must be tactful and courteous in sometimes difficult situations and dealing with competing requests from members of the Department.
