The College of Liberal Arts & Sciences has an opening for a full-time University Staff (unclassified) Graduate Program Coordinator position.

Jobs in this career family provide direct professional support for the teaching and/or educational service mission of the university. Functions include academic advising/counseling, student personnel administration, recruitment and admissions, registration, financial aid, faculty affairs, library services, curriculum administration, and others involving direct support of the educational mission of an academic unit.

Senior Professionals are responsible for exercising discretion, analytical skill, personal accountability and responsibility in a wide range of areas including academic, administrative, managerial and student services functions. Work involves creating, integrating, applying and sharing knowledge directly related to a professional field.  Work is performed fully independently.

Position Emphasis:

The Department of Integrative Biology is one of the largest departments in the College of Liberal Arts and Sciences (CLAS) at the University of Colorado Denver. The Graduate Program Coordinator serves a crucial role in the success of the Department of Integrative Biology by managing, coordinating, and overseeing the operations of the department graduate studies programs. This full-time, University Staff position will embody several essential responsibilities—administering and managing graduate student admission, retention, and graduation; monitoring programmatic financial operations, and performing program-specific administrative functions with the intent to advance program goals and objectives. The Graduate Program Coordinator is a key member of the team in facilitating student success in the admission, retention, and graduation of graduate students.  This position is the primary point of contact for prospective and enrolled graduate students.  

Examples of work performed:

  • Answers prospective student questions about admission criteria, application procedures and deadlines, residence, graduate requirements, and the required establishment of a research faculty sponsor/adviser. 
  • Oversees graduate student applications.  This includes the coordination, organization, and preparation of admissions applications for department review according to Graduate College and specific program guidelines and requirements. 
  • Responsible for the maintenance of graduate student records for enrolled department graduate students.
  • Acts as the official liaison between the department and the graduate college. 
  • Maintains and disseminates up-to-date program policies, procedures, and deadlines, and assists students to identify appropriate resources.
  • Monitors graduate student progress towards program milestones, assists students to plan for upcoming semesters to satisfy program requirements, and advises about scheduling of required courses to fulfill program expectations and satisfy course requirements to degree completion. 
  • Tracks budgets associated with the payment of graduate student teaching assistantships, tuition, stipends, and research assistant funding as part of the overall funding plan. This may also include the confirmation of scholarship and award applications, and processing of scholarship and award payments.
  • Provides human resource and payroll support to hire Teaching Assistants and Research Assistants that work in the department, and with associated university affiliates off-campus. 
  • Works closely with department faculty to place Graduate Teaching Assistants into lecture and lab sections to meet department deadlines and those established by CLAS HR. 
  • Performs accounting, analysis, and preparation of budget highlights for providing recommendations to the Graduate Program Director.  This includes making recommendations for future changes to optimize program development, and to identify deficiencies given current policies, procedures, or budgetary restrictions.  
  • Performs administrative duties to support program initiatives to advance program goals.
  • Organizes and coordinates new graduate student orientations, teaching assistant orientations, and ensures representation on collegiate and/or University governance committees as appropriate.
  • Engages university affiliates appropriately to ensure the best outcome for students, external and internal affiliates, and the overall program.

Salary and Benefits:

The salary range (or hiring range) for this position has been established at $43,064 to $49,500.  

The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty, and training.

The above salary range (or hiring range) represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting.

This position is not eligible for overtime compensation.

Minimum Qualifications:

  • A bachelor’s degree in a STEM field, accounting, finance, education, business, psychology, public administration, health care, educational technology, social science, liberal arts, communications, or a directly related field from an accredited institution
  • Two (2) years of professional-level experience providing budget management (i.e. accounting, gathering and analyzing data to prepare reports, etc.) and program coordination. 
Substitution: A combination of education and related technical/paraprofessional experience may be substituted for the bachelor’s degree on a year for year basis.

Conditions of Employment:

Must be willing and able to work flexible hours in this position. Some evenings and weekend hours may be required.  

Preferred Qualifications:

  • Experience providing HR and payroll support services.
  • Experience in a graduate program or research setting.
  • Master’s degree from an accredited college or university.
  • Demonstrated professional experience working with and advising diverse students in a higher education setting.
  • Experience utilizing technology that support business operations in higher education (HCM or related HRIS systems, eProcurement system, CU SIS <student information system>, CU Market Place, CU M-Fin reports etc.)
  • Experience enforcing and explaining complex College and University policies and procedures.
