Under the Supervision of the Dean’s Executive assistant, provides broad range of clerical and administrative support to Dean, Associate Deans, and professional staff in the College of Design. Initiates, formats, proofreads, and edits general correspondence and other documents on behalf of the College.
Serves as administrative liaison between professional staff, including the Dean’s office and Associate Deans, and the College Business Office.
Assists with a variety of college events and meetings, college-wide meetings, commencement, student awards, etc.
Coordinates and facilitates mass mailings to include, but not limited to, event notifications, development, donor and alumni activities. Acts as liaison between Philanthropy and other units regarding donor stewardship needs. As directed by the Dean’s Executive Assistant, coordinates travel, lodging, ground transportation and overall itinerary for college visitors, including faculty candidates, college advisory board members, and the professional community.
Serves in a reception role as a first point of contact for students, parents, university officials and the public. Greets visitors and directs appropriately. Answers phones and takes messages and/or transfers calls to the appropriate extension.
Provides accurate information regarding the college and its programs. Receives and distributes mail, deliveries, and various materials to staff and faculty and their respective mailboxes as directed. Completes errands on campus and within the surrounding area
Serves as first point of contact for all I.T. and Facilities support requests. Creates, monitors, and closes service tickets in College and University tracking systems per the direction of the applicable service area manager. Communicates ongoing outages and other incidents that impact facilities and office equipment availability to impacted constituents. Maintains regular stock of office and copy supplies in all College facilities, submitting requests to replenish inventory through the proper channels in compliance with College and University policy. Aids with asset and space administration, including annual inventories, as required for effective and efficient operation of College service areas.
Dependability, a professional demeanor, the ability to multitask, and excellent communication skills are essential for this position.
