Position Overview:

This position is responsible for providing executive, administrative and analytical support to a campus or system senior leader.
Responsible for special projects, departmental budgetary activities, correspondence, and calendar maintenance. Coordinates the collection and analysis of data and the preparation of materials for meetings and conferences. Ensures the completion of required reports. This position performs a variety of administrative support tasks that are non-routine and non-repetitive in nature, and require the use of independent judgment and initiative. Responsible for determining methods and procedures to be used, priority of assignments, and necessity for review by the department or campus leadership team. Work includes public contact in interpreting facilities use
guidelines, and rendering administrative decisions. Assignments are broad in nature and usually require creativity and originality. Serves as a resource for others in the resolution of complex problems and issues. Work is performed under general supervision, communicates policies or procedures to staff and has input into planning and policy development. Work requires considerable analytical skill and the ability to plan and coordinate tasks to completion.

This role supports two individuals:

Assistant Vice Chancellor of Equity, Diversity and Inclusion & Executive Director, Campus Human Resources, UNT Dallas

Executive Director, Campus Human Resources, UNT Health Science Center

Minimum Qualifications:

Bachelor’s Degree and two years of office administration or business management experience; or any equivalent combination of experience, education, and training.

Knowledge, Skills and Abilities:

• Extensive knowledge of (or ability to rapidly assimilate and retain) fiscal and academic policy, procedure and practices.
• Extensive knowledge of sound business management principles, policies, and techniques.
• Thorough knowledge of electronic information systems and accounting systems.
• Ability to work under considerable pressure, to adjust to constant changes, to handle multiple tasks, and to coordinate the work of others.
• Ability to keep complex records; to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats.
• Marked ability to establish and maintain effective working relationships.
• Ability to work independently and make decisions within the framework of broad goals and objectives.
• Ability to conceptualize, plan and organize multiple programs and assignments effectively.
• Ability to work on complex and confidential tasks utilizing judgment, tact, and resourcefulness.
• Exceptional written and oral communication skills.
• Knowledge of safe working procedures and security measures related to work performed and work supervised.

Work Schedule:

Monday – Friday; 8am-5pm; overtime as needed

Physical Requirements:

Department-wide: Prepares and organizes files, enters, data, and verifies data entry accuracy; composes and edits forms, records, correspondence, reports, statistical tables, and other materials; checks and proofreads documents for accuracy and completeness; and exercises discretion on any problems encountered.


Maintains systems for monitoring department projects and timeliness.


Serves as liaison to communications for campus wide HR communications.


Supports policy committee with HR revisions and updates.


Serves as liaison to compliance and integrity offices related to HR collaboration projects.


Provides direct support to campus leadership to include calendar maintenance, correspondence, reporting and file maintenance.


Assists with maintaining an adequate inventory of office supplies and prepares purchase orders and approves invoices for equipment and supplies; and coordinates receipt of shipping, inventory management, asset tagging, and asset management roles.


Handles a variety of logistics including room scheduling, special events, and timely delivery of materials to stakeholders and leadership calendar management.


Analyzes and makes recommendations on office operation needs to include equipment, workflow, staffing, and materials.


Serves as backup receptionist; greets public; answers telephone; takes messages; answers inquiries and furnishes information. Assists with receiving, sorting, and distributing incoming mail.


May assist with travel vouchers, accounts for the expenditure of travel funds, and assists with time and labor for assigned department(s).


Resolves most questions, including some where only limited standardization exists. Refers only the most complex issues to higher levels.


Performs other administrative duties as assigned.
