The Department of Mechanical & Aerospace Engineering seeks an experienced professional to administer the undergraduate academic program. The Undergraduate Administrator acts as the interface between the Department and the constituencies with whom it interacts: undergraduates, department faculty, School of Engineering and Applied Science, the Office of the Registrar, the Office of the Dean of the College, Residential Colleges and other university administrative units. This individual reports to the Senior Manager, Finance & Administration and consults closely with the Departmental Representative (of undergraduate students), the department’s Independent Work Coordinator and the Department Chair so that s/he proactively identifies and completes administrative tasks, raises issues requiring departmental intervention, and gathers the information necessary to efficiently make required policy decisions.


The day-to-day activities of the Undergraduate Administrator include the following but are not limited to:

  • Manage all administrative and logistical aspects of undergraduate student academic matters
  • Stay current about Department, University and Accreditation Board of Engineering and Technology (ABET) rules, regulations, policies, procedures; coordinate process to update Department policies as needed
  • Deliver superior customer service in responding to student and prospective student inquiries
  • Schedule all departmental undergraduate courses using Course Information Systems; advise students on course offerings; monitor enrollments; manage course change requests, classroom scheduling
  • Update and monitor student program and course information on the department’s website, Undergraduate Announcement and other locations where information on the MAE concentration is posted

Preferred knowledge, skills and abilities

    Prior University experience, including knowledge of University policies, procedures and systemsExperience with University enterprise systems such as Course Information System (CIS), Peoplesoft, Concur, Blackboard/Canvas, Student Activity Funding Engine (SAFE), familiarity with Drupal
