Job Summary

The Transfer Admissions Counselor/Recruiter performs various functions under the supervision of the Associate Director for Student Outreach and Recruitment (SOAR) and receives work-lead direction from the Lead Admissions Counselor/Recruiter, but works collaboratively with Undergraduate Admissions to deliver a variety of recruitment and advising efforts in support of attracting and enrolling an academically strong, culturally diverse and socially conscious undergraduate student population in support of SJSU’s Enrollment Management Plan in the department of Student Outreach and Recruitment.

This position is responsible for advising and counseling all prospective, new, and continuing students attempting to complete Title 5, CSU and University undergraduate admissions and degree requirements; conducts undergraduate admission evaluations and assessments; and actively collaborates with other university staff involved in various aspects of admissions and records processing, to ensure that related processes are completed in a timely manner. The objective in all interactions is to provide customer service and information regarding policies and procedures; to suggest actions that will resolve issues; and to establish cordial and collegial relationships with contacts in the undergraduate admissions unit.

The primary responsibility of the Transfer Admissions Counselor/Recruiter is to represent San Jose State University to prospective students, parents, community college counselors. Working under limited supervision, the position is responsible for maintaining a high level of knowledge regarding CSU admissions policies, with special emphasis on transfer students and non-resident/international policies, procedures, and advising practices. This position maintains a high level of expertise in undergraduate transfer and freshmen admission requirements, processes, and regulations to facilitate quality customer service to ensure enrollment at SJSU.

Key Responsibilities

  • Provides routine advice and counsel to prospective students and their families on general CSU and SJSU specific admissions requirements and other transitional programs including the Educational Opportunity Program (EOP), Associate Degree for Transfers (ADT; SB1440).
  • Conducts domestic and international advising and recruitment to prospective students.
  • Conducts in-depth interviews to assess students’ needs, goals, major choices, and preparedness for university level work.
  • Creates and presents information on CSU application, admissions and Next Steps to Transfer students, Counselors and organizations to ensure proper compliance.
  • Advises students who are eligible for special programs and services such as EOP, AB540, and Transfer Admission for students who have ADTs on the process of acceptance to each of these programs.
  • Conducts development of online information and/or electronic materials, website and social media about Transfer admission counseling opportunities.
  • Coordinates pre-approved recruitment activities off-campus to develop and maintain collaborative programs involving community college students, faculty, and staff.
  • Coordinates, plans, organizes, and participates in various visitation programs to community colleges to attract upper-division transfer and non-traditional students.
  • Participates in designing and conducting SJSU admissions presentations and various workshops such as the Cal State Apply and Next Steps workshops, as needed or requested by the manager.
  • Coordinates, plans, and participates in Academic Open Houses, Community College Luncheons/Conferences, Admitted Student Receptions and all on campus recruitment/yield activities.
  • Serves on department or university recruitment/yield committees, such as Orientation and Transfer Information programs, as request by the manager and as needed.
  • Provides direct contact or electronic methods of providing the identified CSU service area, Santa Clara and Santa Cruz County, with basic services in system-wide information, application assistance, academic assessment, ADT degree process, EOP process, and Financial Aid Information.
  • Implements business processes for each application cycle and relays appropriate feedback on processes to appropriately meet demands and specified timelines, including, but not limited to: acting as primary role with admission determination processing for Transfer students.
  • Serves as a liaison for the regional Community College counselors and staff.
  • Verifies/assesses documents/transcripts for Transfer admission and impaction determinations.
  • Provides workshops, one-to-one meetings, and phone and e-mail communications to advise applicants on requirements and the admissions process.

  • Ability to travel consistently and independently off campus to various community college and/or high school sites for recruitment events and presentation visits.
  • Ability to take initiative and is resourcefulness in planning work assignments and in implementing long-range program improvements.
  • Ability to collect, compile, analyze, and evaluate data and make verbal or written presentations based on these data.
  • Ability to advise students individually and in groups on routine matters where required.
  • Ability to compose and appropriately format correspondence and reports.
  • Knowledge of technology and software applications such as: word processing, spreadsheet, database management, and communication tools.
  • Ability to learn PeopleSoft, Filemaker, OnBase, and other CRM programs.
  • Ability to perform accurately in a detail-oriented environment.
  • Ability to handle multiple work priorities, organize and plan work and projects.
  • Ability to identify conflict, problem solve, and resolve student problems and concerns in the most efficient manner possible.
  • Ability to plan, organize, and implement small and large scale events to promote a welcoming and inclusive environment for all prospective students.

Required Qualifications

  • Equivalent to graduation from a four-year college or university in a related field, including or supplemented by upper division or graduate coursework in counseling techniques, interviewing, and conflict resolution where such are job-related.
  • Three years of progressively responsible professional student services work experience. A master’s degree in Counseling, Clinical Psychology, Social Work, or a directly related field may be substituted for one year of experience. A doctorate degree and the appropriate internship or clinical training in counseling or guidance may be substituted for the three years of experience for positions with a major responsibility for professional career or personal counseling

License

A valid driver's license is required for this position. Out of state candidates selected for the position must obtain a State of California driver's license within 10 days of hire in accordance with the California Department of Motor Vehicles regulations.

Once hired the employee must successfully complete the Defensive Driver Training Program provided by the State of California for California State University campuses.

Preferred Qualifications

  • Master’s Degree in higher education or similar field
  • 1 to 2 years of program implementation and coordination in higher education
  • 1 to 2 years of presentation experience
  • 2-3 years of academic advising and/or outreach/recruitment experience in higher education

Compensation

Classification: Student Services Professional III
Anticipated Hiring Range: $4,691/month - $4,759/month
Hiring Range: $4,691/month - $6,683/month
