Regular Full-time, Market Range MR10

The College of Law Business Office at the University of Tennessee, Knoxville invites applications for a full-time Business Manager.  The purpose of this position is to assist the Assistant Dean for Finance, Administration, and Operations in overseeing and administering the fiscal, facilities, data management, and human resource responsibilities of the College of Law, including all departments and centers within the college.  This position ensures that financial activities are in compliance with applicable university, state, and federal policies, regulations and laws.  The Business Manager serves as a resource to the deans and directors and provides input into the strategic budgetary planning of the college.  The range of responsibilities is such that decisions made by this position can have far-reaching and long-term impact on the continued success of the college by affecting its ability to strategically plan, to meet fiscal objectives, to maintain fiscal and administrative integrity, and to promote a meaningful working relationship with both internal and external constituencies.  This position supports and assists faculty in regard to management of their professional development accounts, travel, sponsored research, start-up funds, etc., and also acquires and reports information and data associated with academic and research programs in compliance with relevant federal and state regulations and statutes, and university policies and procedures. The Business Manager is also responsible for compiling, researching and analyzing historical and current financial data in order to develop reports, which are used for use in financial planning and forecasting.  The position reports directly to the Assistant Dean for Finance, Administration, and Operations. 

Duties and Responsibilities:

Financial Accounting:

The primary role of this position is to assure the accuracy and integrity of all financial matters of the College of Law by performing the following duties:

• Prepare, review, and audit documents and assist in approving financial/accounting transactions and releasing ledgers at the college level.

• Assist in the development of annual budgets for departments, centers, and student organizations.  Serve as a liaison to student organizations in regard to budget requests and college and university policies and procedures. 

• Develop and deliver presentations and training for faculty and staff in regard to travel.

• Develop financial summaries for faculty development accounts, student organization expenditures, departmental and center budgets, start-up accounts, and other areas as necessary. 

• Audit and verify all bi-weekly and monthly payroll documents.

• Balance College of Law budgets and accounts, transferring funds between accounts as necessary to cover allocated expenditures within account guidelines.

• Provide support to management by analyzing, auditing, and interpreting data, resulting in the production of financial reports for internal and external stakeholders.  Identify areas of concern and recognize issues that may result in problems.

• Participate in annual college budget planning process, as well as budget reviews throughout the year.  Assist in coordination of year-end budget closing.

• Serve as college financial policies/procedures expert by providing interpretation, guidance, and implementation.  Determine compliance to policies and procedures.

• Originating and sending correspondence associated with financial matters.

• Solving a wide-range of financial/business-related problems, using creative and innovative techniques.  Modify solutions as necessary to meet goals of college.

• Additional responsibilities assisting in the implementation and management of the new university budget model will develop as BAM evolves and is executed in the upcoming fiscal year.

Administrative:

The Business Office manages all administrative and operational functions for the college in addition to the broad financial responsibilities.  Administrative oversight is extremely important in the operation of the college.  Related duties include:

• Assist in management of all records of departmental budget expenditures and advise deans, department heads, faculty and staff on financial status of projects and accounts.

• Manage records of student organization approved expenditures throughout the academic year, update expenditures in the student organization files on the portal, and act as a resource in determining balances in the organization college furnished account.

• Make decisions daily that impact the operation and financial status of the College of Law.

• Assist in the compilation of statistical data for reporting purposes to the following:  ABA (American Bar Association) Questionnaire (portion of US News rankings based on the reported information), ABA Site Visit Questionnaire (instrumental in the re-accreditation process), SALT Faculty Salary Survey, Equal Justice Works Survey, and university Access and Diversity Initiatives Report.

• Request and administer all faculty start-up accounts.  Consult with faculty regarding budgets, expenditures, and account balances.

• Consolidate departmental budgets and expenditures into an annual college summary furnished to the dean.

• Represent the college at various campus venues and with varying levels of administration.

• Monitor office procedures to maximize efficiency, accuracy, and ensure the most efficient use of physical, financial, and human resources.

• Assist in the implementation of new department procedures in response to changing university initiatives and technological advances.

Operational Administration:

 Ensure effectiveness of Departmental operations by:

•Assisting with preparing and submitting documents for various types of contractual agreements for the department (MOU/MOAs, etc.) 

•Providing guidance to faculty and other college personnel with terms of use and purchase agreements.

•Managing and facilitating contract process to ensure satisfactory completion, including communicating with outside agencies and vendors.



Qualifications
Required Qualifications:

• Bachelor’s Degree in business, finance or related field.

• Five years of accounting or business management experience.                

• Knowledge and mastery of standard accounting principles (GAAP).

• Professional integrity, including a thorough understanding of confidentiality.

• Communication and interpersonal skills sufficient for effective interactions with a broad range of individuals, including faculty, staff and students.  Ability to exhibit an enthusiastic attitude toward serving the college and its' community.  Commitment to working within a diverse and inclusive community.

• Effective organizational, prioritization, and problem-solving skills.

• Effective time management, stress management, and conflict management skills.

• Proficiency with common office and database software.

• Ability to multi-task.

• Ability to lead a team, prioritizing respect and inclusiveness for all team members.

• A commitment to pursue efforts to enhance diversity, equity, and inclusion within the college, the university, and the community.

Preferred Qualifications:

• Master’s Degree

• Financial work history at a comprehensive research university.

• Working knowledge of SAP or equivalent software.

• Knowledge of IRIS (SAP), Cayuse SP, Taleo.

• Knowledge of UT’s fiscal and human resources policies and procedures.

• Knowledge of Uniform Guidance.

• Knowledge of Graduate School policies and procedures.
