Description:

Reporting to the Executive Director, the incumbent is responsible for the operational, financial and administrative management of the Office of Advancement within the Faculty of Applied Science and Engineering, with the goal of ensuring operational effectiveness and efficiency based on sound business practices. As a member of the senior management team, the Director of Advancement Operations helps to create a work environment and culture that values excellence, initiative, effectiveness and community and offers staff opportunities for professional growth and development.

Key duties include: developing short and long-term financial and operational plans for the Office of Advancement in collaboration with the Executive Director and senior management team; developing and stewarding effective working relationships with key internal and external stakeholders; developing and implementing sound business processes and standard operating procedures to ensure effective processing, administration and reporting of donations records; space and facilities and information systems management; and staff recruitment and onboarding management of the staff in the office.

The incumbent manages a number of administrative staff and assumes overall responsibility for human resources and labour relations management for the Office of Advancement including dispute resolution and compliance with collective agreements. The incumbent provides leadership in ensuring a sound organizational staffing structure for the Office of Advancement and leads in the development of strategies and/or business continuity plans.

Qualifications

I. EDUCATION:
University degree and training in the area of business management, or equivalent combination of education and experience. Master’s in Business Administration and/or certified accounting designation a strong asset.

II. EXPERIENCE:
Minimum seven (7) years of experience in a senior financial and administrative/operations role, preferably in a University or hospital environment. Demonstrated experience in financial management, human resources and change management.
Experience with developing and implementing administrative and business processes required.
Supervisory experience required, preferably in a unionized environment. Strong financial acumen, including financial analysis, budgeting, and forecasting experience.

III. SKILLS:
Strong leadership and team building skills; excellent analytical skills and ability to problem solve in a complex environment; strong decision-making skills; strong planning and project management skills, focusing on executing and completing tasks under pressure and managing conflicting priorities and deadlines; strong multi-tasking ability; demonstrated negotiating skills; proven judgment, tact, discretion and diplomacy. Strong computer skills with proficiency in MS Office (MS Word, Excel, PowerPoint). Knowledge of the University’s Administrative Management System (DIS, FIS, HRIS) highly advantageous.

IV. OTHER:
Ability to foster and maintain effective relationships with individuals at all levels, both internal and external to the University. Demonstrated ability to work in a collaborative and collegial manner, with a strong appreciation for the challenges and opportunities for working within a large, decentralized organization. High level of initiative, tact and diplomacy with a proven ability to positively influence stakeholders over which they have no authority Reputation for integrity, openness, decisiveness and strong judgment. Ability to work in a fast-paced environment with changing tasks and deadlines. Ability to be productive working both independently and as part of a team. Strong ability to quickly grasp complex processes and procedures and develop an understanding of advancement operational requirements in a research-intensive academic environment.
